    Job Summary:

    The Patient Ambassador is responsible for daily patient operations of the front desk, including patient scheduling, ensuring exceptional customer service, and maintaining efficient administrative processes. This role is critical in providing excellence in patient care in person, on phones and via email. The ideal candidate will have 3-5 years + experience in a wellness or healthcare setting, with a strong focus on scheduling and customer / patient care.

    Key Responsibilities:

    Patient / Customer Experience:

    Ensure the front desk team provides exceptional customer service by handling inquiries, scheduling appointments, and providing accurate information about services and programs.

    Address and resolve patient concerns or complaints promptly and professionally.

    Patient Scheduling:

    Scheduling of patient appointments, including consultations, treatments, and follow-ups.

    Manage the use of scheduling software (Cerbo), ensuring accurate and efficient booking to avoid conflicts or overbooking.

    Coordinate with service providers (e.g., wellness coaches, therapists) to optimize their schedules and ensure appointment availability.

    Manage appointment reminders, cancellations, and rescheduling to minimize disruptions.

    Communicate with patients regarding appointment confirmations and provide any necessary instructions.

    Administrative Duties:

    Ensure smooth day-to-day operations at the front desk, including handling phone calls, emails, and in-person inquiries.

    Process client payments, maintain accurate records of transactions, and prepare financial reports as needed.

    Ensure that patient information is kept confidential and securely stored according to privacy policies.

    Facility Management Support:

    Keep the reception area and office space clean, organized, and stocked with necessary materials (e.g., forms, brochures).

    Help ensure the break room and patient lounge are kept tidy, stocked and comfortable.

    Report any maintenance or equipment issues to the appropriate personnel and help resolve in a timely manner.

    Sales and Promotions:

    Promote wellness packages, Energy4Life services and special offers to clients.

    Follow up and check in with patients to ensure they are well cared for and are informed of all we offer.

    Compliance and Safety:

    Ensure that the front desk team follows all health and safety regulations and wellness center protocols.

    Maintain compliance with client privacy policies and ensure all sensitive information is properly handled and stored.

    Qualifications:

    High school diploma or equivalent; a Bachelor’s degree in business administration, healthcare management, or hospitality is preferred.

    3+ years of front desk office experience.

    Strong organizational and multitasking skills with proficiency in scheduling software (e.g., Mindbody, Acuity) and office management tools (e.g., QuickBooks, Microsoft Office).

    Adaptability and a proactive approach to challenges.

    Excellent leadership, communication, and customer service skills.

    Familiarity with wellness services (i.e., acupuncture, holistic health) is a plus.

    Proficiency in schedule optimization.

    Ideally located closer to work due to winter weather and ski traffic challenges of working in a resort town.

    Working Conditions:

    Primarily works at the reception desk and/or in office environments and is heavily involved in helping patients and supporting front desk staff.

    Core hours align with the Energy4Life Centers office hours - but generally expect 8:30am - 5:30pm as a typical work day, plus lunch and breaks.

    Occasional team meetings or high volume days may require extended hours, but weekend and holiday work will not be required.
