    Job Title: Patient Representative:

    Duties and responsibilities:

    1. Scheduling all procedures to be performed in facility (e.g., surgery, GI procedures, pain procedures, preoperative appointments)
    2. Insurance Verification and Prior authorizations
    3. Financial Counseling / Admitting Functions a) Calls and meets with patient prior to date of surgery to counsel regarding facility fees and coverage b) Communicates all financial aspects of care to the surgical patient c) Reviews estimated fees and coverage available with the patient/family, explaining the fees and reimbursement process; documents the review in the patient’s record d) Suggests options to the patient in planning a payment schedule, filing insurance, and handling any problems arising in the reimbursement process e) On day of surgery interviews patient and confirms all demographic and insurance information for accuracy, making changes when applicable f) Reiterates financial obligations with the patient or family member, explaining the fees and reimbursement process g) Provides a written explanation of the estimated fee schedules by CPT code prior to surgery and documents in the patient’s record h) Reviews forms for patient’s signature; obtains forms and signatures as needed i) Collects any copayment or deductible prior to surgery j) If necessary, provides patient with payment plan /schedule according to facility policy
    4. Reception a) Serves as telephone operator for facility; routes incoming calls correctly and takes accurate messages when unable to connect caller to requested party b) Greets patients and provides necessary paperwork for completion c) Notifies appropriate nursing staff that patient is present after patient has completed paperwork d) Keeps track of patient’s family, patient’s driver, etc e) Ensures that pharmaceutical/equipment representatives have signed the visitor’s log and received appropriate badges to be in the facility, adhering to HIPAA and confidentiality guidelines f) Prints out all labels, forms for patient charts and assembles charts before appointment g) Performs other miscellaneous office / clerical duties as needed, including scanning patient records in the electronic health record

    Qualifications:

    1. Cooperative work attitude toward co-employees, management, patients, visitors, and physicians
    2. Ability to promote favorable facility image with physicians, patients, insurance companies, and general public
    3. Ability to make decisions and solve problems
    4. Ability to work in a fast-paced environment and multi-task

    Educational and Job Quality Requirements:

    1. High school diploma or GED certificate
    2. Training or courses in business office activities
    3. Good computer and typing skills
    4. Good communication skills and customer service skills
    5. Strong ethical and moral character references
    6. Accuracy and attention to detail
    7. Timeliness and Dependability
    8. Little supervision needed to accomplish tasks. Ability to follow instructions and meet deadlines. Preferred:
    9. Patient financial counseling experience
    10. ASC experience

    Physical/mental requirements:

    1. Ability to sit, stand, and walk for long periods
    2. Visual and auditory acuity for frequent use of computer and telephone and occasional use of other office equipment
