    Job Description

    Role Summary:

    The Universal Filmed Entertainment Group (UFEG) People & Culture team at NBCUniversal is committed to providing the best partnership and service to our business, creating a diverse, equitable, and inclusive culture, and continuing a supportive and collaborative team dynamic.

    This role will support the day-to-day operations of the team supporting multiple executives, ensuring an effective office environment and assisting with employee events and special projects as needed.

    Responsibilities :

    Executive Support

    • Provide administrative assistance to People & Culture Executives such as organizing meetings including scheduling, set-up and gathering meeting materials, while managing multiple scheduling priorities.
    • Reconcile T&E and PCARD expenses, as well as coordinate travel arrangements as needed.
    • Provide additional administrative support as needed.

    Team Support

    • Ensure the amenities, equipment and supplies for the team are fully stocked and operational, requesting service/maintenance as needed.
    • Serve as subject matter expert for processes, resources and facilities requirements available to offer support to team members as needed (i.e. mailroom, deliveries, etc.).
    • Help onboard new People & Culture Members by scheduling meet and greets, helping them assimilate to the office, and making sure they are set up properly with what their role requires.
    • Help with logistics and coordination of activities for the People & Culture Team (i.e. appreciation activities, off-sites, birthdays and meetings, etc.)

    Program Support

    • Assist as needed the People Experience Team in setting up and executing UFEG events.
    • Assist with paying invoices and reconciling purchasing card associated with events.
  • Qualifications

    Qualifications

    Basic Qualifications:

    • 1+ years of experience in a professional work setting, Human Resources, Business Administration or related field

    Desired Characteristics:

    • Prior administrative or office management experience preferred
    • Service Minded – people first mindset.
    • Proficient with MS Office and intuitively navigate various systems platforms.
    • Strong communication skills, both written and verbal.
    • Able to build strong relationships and work with all levels of an organization; collaborative spirit.
    • Extremely flexible and able to shift priorities as needed and manage multiple priorities at a time.
    • Resourceful, able to navigate a complex environment to obtain information and troubleshoot.
    • Self-motivated and independent work style, comfortable with a fast-paced work environment.
    • Must be able to work on-site at least three days a week, and be flexible with schedule based on event needs in the evenings and on the weekends.

    Additional Requirements:

    • Able to do light physical lifting.
    • Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of three days per week.
