Description:
The Project Manager is directly responsible for ensuring the effective and efficient workflow, organization and execution of all photography, video productions, design projects and additional projects within XSIGHT. This is done by working closely with clients and key stakeholders and being the liaison between clients and the XSIGHT team, the sales team, production team and photography and video departments. This ensures all necessary project specifications, team members and tools for execution are in place to accomplish all project goals while meeting deadlines, staying on budget and preventing or solving production problems or conflicts. This is accomplished by having an extensive knowledge of production industry standards and XSIGHT’s workflows and processes, as well intrinsically understanding that the principles of scope, schedule and budget are central to managing successful projects from start to finish and to XSIGHT’s standards.
Structure:
Oversees photo & video and design projects and productions from start to completion and ensures all project deliverables are met including deadlines and budget requirements.
Oversees the team responsible for executing projects and works with the production team to ensure all information and resources are available and communicated for an efficient workflow.
Manages project timelines and internal production schedules in conjunction with the Project team and production teams to ensure the completion of delegated tasks.
Determines and delegates project milestones and necessary tasks in the workflow to team members and Independent Contractors and addresses any missed or late task completions that could cause delay in project progression.
Works directly with clients and key stakeholders throughout the project from start to finish to ensure their project goals are properly understood, communicated to the team and kept front of mind as projects progress.
Has an in-depth knowledge and understanding of XSIGHT’s standards, workflows, protocols, pricing, packages, job roles, systems and procedures.
Ensures booked commercial clients are added to project management systems with all project information, details, deliverables, deadlines and all other pertinent information added.
Works with the production team for status updates for an overall view of progress, potential complications or obstacles and offers solutions.
Solves problems as they arise and works collaboratively with the CEO to address larger conflicts.
Works closely with the Project team members to ensure client correspondence and updates are addressed and documented.
Takes lead on project communication and ensures all production items are secured:
Assigns all job roles to commercial projects and productions (i.e. lead shooters, assistants, editors, etc.) including Independent Contractors and oversees the production team in securing them.
Works with Independent Contractors in negotiating rates and communicating deliverables as needed.
Assists with researching potential Independent Contractors and is the primary point of contact for all IC’s
Quality Assurance for project progression and final deliverables for all productions and projects
Assists with proposal and contract creation for larger commercial jobs, websites and marketing services as needed.
Leads weekly team meetings and daily huddles.
Works with the Project Coordinator to track client invoicing, contracts and payments.
Steps in when needed to support the production team and other team members in task completion.
Encourages and offers support, answers questions and provides assistance to team members as needed to keep projects moving forward.
Manages all team members in relation to company policies, protocols and general HR and office related items.
