In this position, you will have the chance to put your academic background and training into practice in a practical setting. Working under the guidance of our leadership team, you will support our Operations Department in maintaining the efficiency and performance of our company.     Skills & Qualifications

    3rd, 4th year or Graduate College Student

    Experience with Microsoft Office Suite, Adobe PDF, and Google Workspace

    Experience with CRM Management.

    A proficient writer with attention to detail

    Current and valid driver’s license

    Responsibilities:

    Document Filing/Organization

    Scan documents and save them in the appropriate digital folders.

    Ensure document folders are up to date and well-organized.

    Data Entry

    Enter project data into spreadsheets or databases.

    Update project logs with accurate and current information.

    Input basic information into Deltek Ajera.

    Update Enterprise WEX and geo tracking systems.

    Project List Updates

    Maintain and update the master project list.

    Ensure all project details are current and accurately reflected in the system.

    Update and maintain project-related spreadsheets.

    Ensure data is accurate and up-to-date.

    Scheduling Meetings

    Schedule meetings and send calendar invites as directed.

    Prepare meeting rooms and set up video conferencing.

    Office Supply Management

    Monitor office supply levels and reorder as needed.

    Organize supply closets and keep inventory up to date.

    Order office equipment as requested.

    Mail Handling

    Sort and distribute incoming mail to the appropriate recipients.

    Prepare outgoing mail and packages for dispatch.

    Client Communication

    Draft and send basic emails to clients as directed.

    Answer phone calls and take messages.

    Assist with Reports

    Help format and compile project reports.

    Proofread documents for errors and ensure they are accurate.

    Organize Meeting Materials

    Prepare and print materials needed for meetings.

    Set up and clean up meeting rooms before and after meetings.

    Time Tracking Assistance

    Help track and log employee hours accurately.

    Update time-tracking software with new entries.

    Field Equipment Preparation

    Organize and prepare equipment for fieldwork.

    Check equipment back in after use and ensure it’s stored properly.

    Office Arrangement

    Assist in arranging office furniture and equipment for optimal workspace layout.

    Ensure desks, chairs, and other office equipment are set up correctly and ergonomically.

    Maintain a clean and organized office environment by regularly tidying common areas.

    Manage and clean the office fridge weekly.

    Ad Hoc Tasks

    Assist with additional tasks and projects as they arise.

    Provide support to various departments as needed.
