Job Description
I'm looking for someone who is smart, organized, and trustworthy with excellent written communication to be my virtual assistant and help with day-to-day tasks ( mostly business-related, but some personal tasks included).
The job is part-time to start, but the right candidate could quickly evolve into a longer-term position with the company.
PLEASE NOTE: THIS IS NOT AN ENTRY-LEVEL ASSISTANT POSITION. YOU MUST HAVE AT LEAST 1+ YEARS OF EXPERIENCE AS A VIRTUAL EXECUTIVE ASSISTANT FOR AN EXECUTIVE OR BUSINESS OWNER.
You'll handle my business and personal details, including scheduling, and coordination with clients, email and calendar management, meeting summaries, and social media posting.
It's also remote, so you can work anywhere in the United States, although preference is given to those in Pacific Time zones. We communicate via email, chat, and phone.
Tasks and Responsibilities
- Manage website, including uploading blog posts, formatting newsletters, and scheduling social media posts
- Research and be the point person for service providers for projects such as web design
- Book all travel arrangements, including lodging, transportation, and activities
- Maintain daily calendar, arrange calls, meetings while making sure all details are handled in a clear and organized manner
- Assist with monitoring of my inbox and emails, including responding to clients, partners, and other business contacts
- Email Management: process emails and keep inbox organized, respond to emails and requests – including client emails and PR inquiries
- Handle personal details such as shopping, ordering gifts, scheduling personal appointments, and maintaining household items
Knowledge & Skills
- High level of experience with Google Apps such as Gmail, Google Docs, Sheets, Calendar, and Drive
- Experience with Mailchimp, ActiveCampaign, Squarespace, or Similar
- Capability to set up new systems and processes in order to streamline business and personal functions
- Knowledge of Instagram, Facebook, and other social media marketing tools
- Ability to respond quickly and manage multiple incoming requests
- Bonus points are given to those familiar with Canva.
Education and Experience
- At least 1+ years of experience as an Executive Assistant for a business owner or similar
- Exceptional ability to communicate progress on multiple projects
- Must be highly organized and efficient
- Trustworthy with strong personal integrity
- Experience managing an executive calendar
- Perfectionist, super attention to detail
- Since this is a virtual position, you must be a self-starter, self-motivated, and able to work independently with minimal oversight
