    We are seeking a Executive Assistant who will directly support the Chief Executive Officer (CEO) and other key executives for a local renewable energy provider. You'll utilize your exceptional organizational and communication skills to assist the CEO and other designated executives. Your responsibilities will encompass managing complex schedules, anticipating calendar and inbox needs, liaison for internal and external stakeholders/partners, coordinating travel, and handling various projects. You are dedicated to providing top-notch executive support, reliable, embrace continuous improvement, and you excel in a detail-oriented, high-energy, and rapidly changing environment.

    The Executive Assistant will:

    • Manage and prioritize the calendars of the CEO and other key executives, focusing on productivity and urgent needs.
    • Arrange extensive travel plans and organize high-profile meetings and events for the CEO and leadership team.
    • Act as a gatekeeper by screening and prioritizing communications and actions.
    • Communicate and collaborate effectively with various internal and external stakeholders, ensuring smooth coordination.
    • Assist in preparing support materials for meetings and conferences, including setting up conference rooms, creating slide decks, and compiling meeting documents.
    • Handle conflicting priorities swiftly and proactively, ensuring timely completion of projects often under deadline pressures.
    • Represent leadership in meetings, actively participating, and documenting notes for senior executives or other stakeholders.
    • Regularly review and adjust schedules and priorities for the CEO and other leaders to ensure optimal time management.
    • Engage with board members, representing the organization in all interactions, and attend board and leadership meetings.
    • Compile reports, emails, and other information into comprehensive summaries for leadership, aiding their understanding of issues.
    • Collaborate with staff to establish efficient communication channels, acting as a liaison for the CEO and other leaders.
    • Develop documents and internal pages to support work, disseminate information to staff, and communicate on key topics.
    • Maintain high levels of organization using various tools to ensure smooth operations.
    • Consistently represent the organization’s values in all interactions.
    • Prepare and submit expense reports.
    • Perform additional duties as assigned.

    Qualifications:

    • Over 5 years of relevant experience in executive-level support (VP and above).
    • Proficiency in managing multiple complex calendars.
    • Ability to adapt and thrive in a fast-paced and dynamic environment.
    • Experience in event planning.
    • Advanced proficiency in SharePoint and Google Suite (DocuSign is a plus).
    • Ability to handle confidential information with discretion.
    • Capability to work independently and be resourceful with minimal supervision.
    • Positive team player.
    • Experience in a government agency is a plus.
