Marketing Coordinator - Case Intake Specialist
Job Overview Poole Huffman is seeking an outgoing and results-oriented Marketing Coordinator/Intake Case Specialist to join our outstanding team. This person will serve as the face and voice of the firm to all potential clients and initial inquiries as well as assisting with the firm’s Customer Relationship Management database, updating attorney and firm profiles and social media sites, provide networking event support, and prospect research, facilitate sponsor and membership procedures, and other marketing-related activities. Responsibilities: • Maintain the firm’s CRM database MARKETING COORDINATOR RESPONSIBILITIES: • Daily tasks: monitor synchronization and error log reports; conduct company name standardization edits; enter new contacts • Weekly tasks: review all new contacts, modifications, invalid records, orphaned records, etc.; conduct global formatting of street names, directions, states, and counties • Research and resolve duplicates using social media, the internet, and consulting with attorneys and professional staff • Update contacts for e-alerts to include subscribes, bounces, and opt-outs • Update contacts with event activities and replies PROFILE MAINTENANCE • Update attorney online bios for Martindale Hubbell, Primerus, Super Lawyers, Best Lawyers, LinkedIn, AVVO • Maintain firm profiles on Martindale Hubbell and LinkedIn • Update individual attorney membership/directory profiles CONTENT/SOCIAL MEDIA • Post firm updates on all social media profiles • Create high-quality PDF’s of articles for online publications • Assist with image selection for ads and other marketing materials EVENT PLANNING • Organize both external client and referral source events and seminar, in addition to internal firm events • Assist with event invitations, monitor replies, manage follow-ups, and cancellations • Assist with the event as needed PROSPECT RESEARCH • Conduct prospect research utilizing the internet and subscription-based resources • Identify potential networking events for attorney marketing • Prepare and distribute supporting documentation to attorneys as requested SPONSORSHIP MEMBERSHIPS • Review and monitor sponsorship and membership requests according to policy guidelines • Prepare support documentation as required ADMINISTRATIVE ACTIVITIES • Print and distribute printed bios, prepare and assemble marketing packets • Prepare PowerPoint presentations for attorney presentations • Inventory and organize promotional items and collateral supplies • Prepare cards, gifts, and promotional items for distribution • Provide proofreading support of marketing-related copy to include bios, articles, blogs, newsletters, ads, and collateral materials • Generate labels for direct mail campaigns and client gifts INTAKE SPECIALIST RESPONSIBILITIES • Screen all potential client calls during and after operating business hours, perform case evaluation, and make an informed decision based upon provided case facts and firm criteria • Answer all potential client questions to the best of your ability and explain the process for their case that pertains to them • Interview each potential client that meets the firm’s criteria for case acceptance; execute the signing of all legal documents with potential clients and thoroughly explain the meaning of anything concerning the content of the documents • Input all data into case management software and construct client file • Perform all necessary basic investigation (using provided firm software), call and gather all necessary information from all involved insurance companies/parties, and send all necessary correspondence • Diligently assist all new clients in the medical treatment setup • Maintain and create new referral relationships with other attorneys, firms, and medical providers • Debrief the assigned paralegal/attorney team on new client files signed Qualifications: • Full-time position. 5 years of customer service is required. Some experience with legal marketing or professional services marketing is preferred • Proficiency in design programs (Canva, etc.) or Adobe Cloud Design programs (Photoshop, InDesign, etc.) preferred Compensation: $35,000 - $55,000 yearly
