Founded in 1996, CMES, Inc. is a rapidly growing, privately held Georgia-based civil construction company. We are seeking to add a dedicated and detail-oriented Office Administrator to our team to support our continued rapid growth.
Job Description:
The Office Administrator supports the Preconstruction department by performing a variety of administrative and coordination tasks. This role is critical in managing the business development, estimating, and bidding processes. The ideal candidate will be self-sufficient, detail-oriented, and able to work diligently under minimal supervision.
Key Responsibilities:
Bid Management: Complete and submit bid documents for government and public projects. Ensure all documentation meets submission guidelines and deadlines.
Vendor Relations: Cultivate and maintain relationships with subcontractors, suppliers, and vendors. Issue requests for proposals (RFPs) and manage responses.
Administrative Support: Provide executive and administrative assistance to the Preconstruction Director and the estimating team. This includes scheduling meetings, preparing reports, and maintaining project documentation.
Estimating Coordination: Assist in preparing cost estimates by gathering and analyzing data, ensuring all relevant information is available to the estimators.
Document Control: Manage and organize all preconstruction documents, ensuring they are up-to-date and accessible to the team.
Communication: Serve as a liaison between the Preconstruction department and other departments within the company, ensuring clear and efficient communication.
Technology Proficiency: Utilize Microsoft Excel, Word, Outlook, and Teams to manage tasks and communicate effectively.
Required Skills and Qualifications:
Detail Orientation: Exceptional attention to detail and organizational skills.
Self-Motivation: Ability to work independently and take initiative.
Work Ethic: Strong dedication to hard work and diligence.
Technical Proficiency: Advanced skills in Microsoft Excel, Word, Outlook, and Teams.
Experience: Previous experience in a similar role, such as an administrative assistant, executive assistant, estimating administrator, or estimating coordinator, is preferred.
Communication: Excellent written and verbal communication skills. Comfortable and confident speaking on the phone.
Problem-Solving: Strong analytical and problem-solving abilities.
Education and Experience:
Education: Bachelor’s degree in construction management, business administration, or a related field is preferred.
Experience: Minimum of 2-5 years in a relevant administrative or coordination role. Within the construction industry preferred.
Working Conditions:
Environment: Primarily office-based with occasional site visits as needed.
Hours: Full-time position with standard office hours and potential for additional hours based on project deadlines.
