Private Events Coordinator
About the Role
The Private Event Coordinator at Splash will play a key role in driving the administrative efficiency and productivity of our private events business. This dynamic position supports the sales team in a variety of areas, including event detailing, managing event boards, coordinating food and beverage selections, organizing event signage, and more.
This is an in-office full time role (Monday through Friday), with the ability to work evenings, weekends, and holiday shifts as required to support programming and event execution.

Essential Duties & Responsibilities
Execute administrative tasks related to event planning, including creating banquet event orders (BEOs), floor plans, vendor communications, and final invoicing.
Ensure all BEOs and event sheets are updated and distributed clearly to staff and departments.
Handle last-minute client requests and changes with efficiency and professionalism.
Assist with the daily operations of the events department.
Manage vendor relationships, deliveries, and logistics as required by GSW.
Deliver outstanding customer service to clients, guests, vendors, and visitors.
Maintain and manage event equipment, décor, and supplies.
Conduct market research and competitive analysis as needed.
Act as a liaison for social media communications with The Decanteur.
Manage and coordinate SevenRooms reservations with TripleSeat short term event bookings.
Follow up on voicemails to capture details and explore alternative booking options for clients.
Collaborate with internal teams, on-site staff, and vendors to create exceptional experiences.
Maintain consistent communication and coordination throughout the event lifecycle, ensuring seamless execution while staying composed under pressure.
Experience & Skills
Technology-savvy: Proficient in Microsoft Suite and experienced with TripleSeat, SevenRooms, Canva, and Restaurant365.
Event Management Expertise: 2+ years of experience in hospitality event management.
Customer Service Excellence: Strong interpersonal and communication skills.
Time Management: Ability to meet deadlines and deliver high-quality work independently or collaboratively.
Hours & Pay
Onsite, in-office role at Splash: 191 Warriors Way, Suite 102, San Francisco.
Full-Time: 30-40 hours per week.
Flexibility: Must be available to work weekends, nights, and holidays as needed.
Compensation: Competitive industry pay.
