    The Program Coordinator plays a crucial role in providing support to the Practice Leadership team and the Director of Practice Excellence within the organization, ensuring the smooth operation of various programs and services aimed at providing high quality services, training and consulting to internal staff and external clients. The ideal candidate will possess strong organizational and communication skills, attention to detail, and a commitment to Plummer’s mission and focus on equity.

    Essential Job Functions

    Training and Development:

    Prepare & support agendas, decks, and materials for training, committee and staff meetings.

    Edit and refine PowerPoint presentations and consulting tools.

    Manage on-site and Zoom meetings and training preparation. Provide tech support for virtual meetings and trainings, including MS Teams, and Zoom.

    Knowledge of and ability to perform video editing.

    Conduct basic online research of child welfare data and best practices.

    EG: Plan and coordinate site logistics, technology, speaker assignments, travel, accommodations, meals, and materials associated with Practice Leadership trainings and events. Attend webinars and take notes to report back to the team.

    Communication and Coordination:

    Coordinates with internal staff and external clients on scheduling consulting work and meetings.

    Receive and respond to inquiries from internal and external stakeholders, providing information and assistance as needed.

    Schedule and coordinate all logistics for meetings, conferences, and training sessions.

    EG: Manages the teams’ calendars, scheduling, and travel. Manages all logistics for trainings and meetings.

    Data Entry and Reporting:

    Enter and maintain data in the department's information management system.

    Generate regular and ad-hoc reports on training attendance and survey feedback.

    Ensure data accuracy and integrity to support decision-making processes.

    Manage expense reporting and billing.

    EG: Track and report Permanency Practice Leadership impact measures in collaboration with Plummer’s Outcomes and Evaluation Department. Effective use of Microsoft Suite, LearnDash, Salesforce, Google Surveys, etc.

    Documentation and Compliance:

    Oversee standard design, formatting, and timely completion of products and deliverables.

    Request authorization, complete application, and disseminate and maintain requirements for continuing education credits for training.

    Manage and organize the shared file storage systems in LearnDash, Salesforce, OneDrive, and MS Teams.

    EG: Develop systems to organize and track workload, project budgets and assignments.

    Qualifications

    High school diploma or equivalent (bachelor's degree in non-profit management, social work, administration, or a related field is a plus).

    5 – 7 years' experience

    Expert user of office software (e.g., Microsoft Office Suite, Salesforce, Teams, Google).Proven experience in administrative roles.

    Strong organizational and multitasking abilities.

    Excellent written and verbal communication skills.

    Understanding of child welfare practices, language, terms, processes, policies, and procedures.

    Have a valid driver’s license.

    This is a hybrid position requiring in-person support for meetings and trainings approximately 50% of the time. Travel is within Massachusetts, primarily in Woburn, Worcester, Lawrence, and Salem.
