    Part-Time, Non-Exempt, Hybrid

    Reports to: Executive Director

    Salary: $20-$25/hour

    Position Summary: The Program & Family Engagement Specialist ensures the smooth operation of Horizons at Foote’s school-year and summer programs while fostering strong relationships with families. This position is responsible for program logistics, data management, administrative support, and family communication. The coordinator will track student data, oversee enrollment processes, support event planning, and serve as the primary Spanish-language liaison for families.

    This role requires strong organizational skills, attention to detail, and a deep commitment to educational equity and family engagement.

    Key Responsibilities

    Program Coordination & Data Management

    • Manage student admissions and re-enrollment processes, ensuring accurate record-keeping in Salesforce and Playground.
    • Track and organize student forms, admissions materials, and enrollment fees.
    • Act as a database liaison with Horizons National, ensuring compliance with reporting requirements.
    • Oversee ordering and distribution of supplies for STRONG Academy and the summer program.
    • Coordinate and administer STAR Testing for pre- and post-program assessments, submitting data to Horizons National.
    • Track and report daily attendance during the summer program, follow up with families as needed, and submit statistics to Horizons National.

    Family Engagement & Communication

    • Serve as the primary contact for families, ensuring clear and supportive communication.
    • Respond to parent/guardian inquiries via phone, text, and email promptly and accurately.
    • Provide Spanish translations for program documents and communications.
    • Keep families informed about upcoming events and student needs.

    Program & Office Administration

    • Provide administrative support to the Executive Director , including scheduling, travel arrangements, and document management.
    • Support the Board Chair with meeting preparation, scheduling, and logistics.
    • Maintain historic records of board meetings, events, and programs.
    • Oversee office supply inventory, ordering, and budget tracking.

    Summer Program Support

    • Plan and attend weekly summer staff meetings.
    • Assist teachers with troubleshooting classroom and student-related challenges.

    Committee & Board Support

    • Assist in preparing materials for Board meetings.
    • Maintain board and committee records , including reports and contact information.
    • Support committee activities and administrative needs.

    Qualifications & Skills

    Bilingual (English & Spanish) required

    • 1-2 years of experience in an office or administrative setting
    • Strong organizational and data management skills
    • Experience working with multicultural and marginalized families
    • Proficiency in database systems (Salesforce experience a plus)
    • Effective interpersonal and communication skills
    • Ability to work in a fast-paced, dynamic environment
    • Flexibility to work occasional nights and weekends
    • Passion for educational equity and community engagement
