JOB DESCRIPTION: PROJECT COORDINATOR
1. Assist Operations Manager, Senior Project Manager and all Project Managers with day to day
project management and operations.
2. Create project commitments in Procore as well as uploading drawings, specs, and all other
necessary documents from shared folder, creating project directory and inviting appropriate parties
to join the project, etc.
3. Is responsible for all project document preparation and coordination including the following:
• Drawings, Submittals, RFI’s
• Review Client Change Orders with Project Managers for approval. Prepare and submit approved
Change Orders to clients and create in Procore.
• Review Subcontractor Change Orders with Project Managers for approval. Prepare, create in
Procore and send approved Change Orders to subcontractors.
• Create monthly owner billings in Procore.
• Maintain Procore invoicing dates for subcontractors as well as working closely with PM’s to
verify billing percentages of submitted AIA’s.
• Scheduling of and attendance at Project Meetings
• Preparing and distributing Project Meeting Minutes
• Ensure that all required Subcontractor and Vendor paperwork is on file and in Procore prior to
project commencement (Certificates of Insurance, W-9s, signed subcontracts/purchase orders).
o Review Subcontractor/Vendor Insurance Certificates for compliance with A-1 and project owner
requirements.
• Create Subcontracts and Purchase Orders in Procore sending to parties via DocuSign along with
all contract attachments, exhibits, etc. Will be responsible for tracking receipt of executed
documents.
• Compile and distribute project Close-Out documents
• Create and maintain Submittal and Change Order Logs
• Monitor project photos to ensure that pictures are being uploaded daily to Procore by the
Superintendents.
4. Assist in obtaining permits, licenses, and inspections, including ordering necessary drawings.
5. Manage all necessary project related correspondence.
6. At times, will be asked to visit job sites to become familiar with, and observe the
progress of, assigned projects.
