    Project Coordinator

    The project coordinator will support construction projects from start to finish.

    We are seeking a highly organized and detail-oriented administrative assistant to join our construction firm. As the administrative assistant, you will be responsible for carrying out various clerical and administrative duties to ensure the smooth functioning of our office.

    Your primary responsibilities will include:

    Liaising with clients, vendors, and contractors to ensure timely communication and successful project completion.

    Supporting project managers with invoicing, collections and payables

    Answering and directing phone calls, emails, and other correspondence to the appropriate person or department.

    Maintaining and organizing physical and digital files, including contracts, blueprints, and permits.

    Coordinating and scheduling appointments, meetings, and project deadlines.

    Assisting with the preparation of financial reports, invoices, and other administrative documents.

    Ordering and maintaining office supplies and equipment.

    To be successful in this role, you should possess excellent organizational and time management skills, as well as strong written and verbal communication abilities. You should also have experience with office software such as Microsoft Office and Google Suite.

    Responsibilities:

    Introductory calls to new clients

    Answering phone calls, managing main company line

    Managing online customer files and correctly documenting the process steps

    Scheduling inspections and site visits

    Invoicing

    Managing internal priorities

    Assisting with cross-team communication on a project

    Problem solving

    Multitasking and prioritizing

    Data entry, spreadsheets, computer systems

    Assisting with administrative tasks delegated by management team

    Office management

    Qualifications

    Associates degree or equivalent work experience

    1 year of office or administrative experience preferred

    Excellent organizational and project management skills

    Strong communications and interpersonal skills

    Ability to work both independently and as part of a team

    Proficiency in google suite and ability to learn new software

    Understanding of construction processes preferred

    Salary: $40,000.00 - $55,000.00 per year
