    The Role

     We are seeking a full-time Project Coordinator to join a dynamic team and contribute to impactful design that makes a difference in people’s lives. Boulder Associates is a leader in sustainable architecture and interior design, with thriving offices in San Francisco, Irvine, Boulder, Charlotte, Dallas, Los Angeles, Phoenix, Sacramento, and Seattle.

    We’re looking for a talented and passionate Project Coordinator to join our San Francisco team. This person will work closely with architects and interior designers to foster a positive, collaborative environment that supports meeting deadlines and achieving project goals. The role follows a hybrid schedule, with three days per week onsite at our San Francisco location.

    Duties & Responsibilities:

    Project Responsibilities

    • Utilize appropriate software to setup, prepare and properly track project proposals/workplans, workflow and documents including, but not limited to, project and staffing plans, project milestones & deliverables, specifications, contracts and change orders, certificates of insurance, submittals/transmittals, RFI’s, and written communications
    • Assist the team to meet internal and project deadlines, project kickoff and team meetings, monthly project executive and project management meetings, revenue recognition, revenue and billing projections.
    • Support a team of Project Managers with work planning, staffing, and scheduling. Assist PMs with communication between the internal project team, accounting team, consultants, and construction team
    • Assist accounting with project billing and client payment monitoring
    • Follow through on project management policies and procedures and team building activities as redirected by PM or Principal
    • Role is part of a network of PCs around the firm who support each other
    • Other administrative duties as may be assigned by the Office Director. Act as a backup to the Office Coordinator as needed

    • Possession of excellent organizational and time management skills and the ability to prioritize work and meet constantly changing deadlines.
    • Ability to work with minimal direction after training.
    • Participation in industry-related organizations.

    Required Qualifications:

    • At least one year of administrative experience
    • Proficiency in Microsoft Office Suite: Word, Outlook, PowerPoint and Excel
    • Professional written and verbal communication
    • Ability to manage multiple tasks in a deadline-driven environment
    • Reliable, Self-motivated, organized, and efficient working style
    • Comfort with arithmetic and ability to multitask and meet deadlines in a fast-paced environment
    • Ability to lift 25 lbs.
    • Ability to drive and reliable transportation.

    Preferred Experience:

    • Experience with Deltek Vision or VantagePoint
    • Demonstrated experience in Design-Bid-Build, IFOA and Design-Build settings.
    • Professional experience in the A/E industry
    • AA or AS degree in a related field or equivalent experience

    The anticipated salary range for this role is $70,000-$80,000 depending on experience. We offer employees a full benefits package including (but not limited to) medical, dental, vision, life, short term disability and long-term disability insurance, a 401(k) plan with an employer match and paid vacation, sick, holiday and volunteer time.
