    Project Coordinator

    Reports to Senior Project Manager

    Word on Fire Catholic Ministries is a nonprofit global media apostolate that supports the work of Bishop Robert Barron and reaches millions of people to draw them into—or back to—the Catholic faith.

    The Project Coordinator assists with the planning and execution of projects across the ministry, providing support to ensure tasks are completed on time and within budget. This role involves the tracking of project progress, coordinating schedules, and communicating with team members to keep everyone informed. The Project Coordinator will collaborate with teams across the ministry to help ensure projects are prioritized, planned, and executed effectively.

    Employment Type: Full-time (35 hours per week)

    Responsibilities

    • Assist in gathering project requirements, scheduling, and tracking budgets throughout the project lifecycle
    • Help coordinate the scheduling, facilitation, execution, and prioritization of projects and their associated timelines
    • Assist in managing recurring processes and, when necessary, help identify and implement process improvements in collaboration with the Senior Project Manager
    • Monitor and analyze project progress, and when necessary, help facilitate getting the project back on track
    • Facilitate project team meetings, track progress, and communicate updates to team members and management
    • Review progress on tasks and deliverables, ensuring accountability for meeting planned timelines
    • Aid in the change management process and minimize the impact on the project budget, scope, and objectives; work with the project team and project partners to create solutions that preserve the project’s momentum
    • Support departments across the ministry with their projects to ensure they are as effective and efficient as possible
    • Steward and monitor project resources such as team bandwidths throughout the project lifecycle to track with the project management plan
    • Help draft project plans and manage project documents such as schedules, budgets, procedures, change requests, and issues
    • Prepare regular project status reports
    • Communicate effectively with project teams and departments to ensure smooth information flow
    • Maintain files and information, including but not limited to: project schedules, status reports, financial data, budgets, project documentation, and legal documents

    Requirements

    • Bachelor’s degree in business administration, engineering, or a related field or 0-2 years of experience managing publishing, media, education, design, software, or IT projects
    • Familiarity with project management concepts such as project life cycle
    • Excellent and concise communication skills
    • Critical thinking skills and excellent planning ability
    • Great interpersonal skills to build strong relationships and make connections with business partners throughout the ministry
    • High level of attention to detail
    • Results-oriented, independent self-starter, and expert time manager
    • Ability to adapt and learn new business processes and functions
    • Commitment to the mission of Word on Fire

    Preferred Qualifications

    • Familiarity with the work of Bishop Barron and Word on Fire
    • Familiarity with project management methodologies such as Agile methodologies like Disciplined Agile, or Scrum
    • Familiarity with project management softwares such as Monday, Jira, Asana, or Trello
    • Strong and confident presentation skills

    Compensation and Benefits

    The estimated base pay range for this position is $23.63 - $35.71 hourly. Word on Fire determines individual compensation on several factors, including but not limited to, experience, skills, alignment with the role’s responsibilities, and geographic location. This role may be eligible for annual merit increases based on individual performance.
