    Job Description

    The Operations Support Coordinator will work under the general guidance of the Director of Implementation and be a member of the Equus National Service Delivery Team and will work with multiple parties to assists in the plan development, tracking and task execution of workforce related transition plans. The Operations Support Coordinator will primarily be focused on developing and coordinating and performing activities related to new contract startups, closeouts, contract expansions, facilities moves and other projects involving multiple stakeholders and departments.

    Essential Job Responsibilities

    • Provides assistance with planning and coordinating activities to manage and implement interrelated projects from initiation to completion or steady state status.
    • Plans, schedules, monitors, and reports on activities related to the project(s).
    • Supports the project team(s) in determining customer requirements and translating requirements into operational plans.
    • Identifies and coordinates additional resources to meet project needs and requirements.
    • Assists with contingency plans to address schedule revisions, manpower adjustments, and work requirements.
    • Meets with management, sponsors, and project teams to review project scope/progress and resolve project issues.
    • Monitors and evaluates quality of performance and product from all work within scope of responsibility.
    • Assists with accurately estimating and planning the work of teams or project groups within agreed policies.
    • Produces work plans according to required standards.
    • Fosters an environment of continuous improvement.
    • Explores ways to increase efficiency and productivity, reduce waste, and reduce costs.
    • Coordinates, communicates, and tracks progress on tasks assigned or supported by internal IT, legal, risk, finance, payroll, development, marketing, operations and service delivery team, among other internal parties that may be involved in individual projects.
    • Monitors and reports on the progress of the resolution of high impact problems according to established standards.
    • Handles those exceptions that have been referred relating to schedules, working methods, resources, staff matters, or technical difficulties.
    • Passes decisions clearly outside scope upward, including proposed solutions whenever appropriate.
    • Advises on and justifies proposed configuration specifications, strategic plans, and tactical plans affecting service delivery.
    • Writes and speaks fluently on all aspects of work.
    • Communicates effectively, and in accordance with protocols, with users/customers, colleagues 2-3 levels up/down and across a range of disciplines, and all levels of management.
    • Assists with negotiations with and functions as a liaison between functional partners, users, and suppliers.

    Qualifications

    • Bachelor's degree and 2 years’ experience in workforce development or project management or an equivalent combination of experience and education.
    • Excel: Proficiency in Excel is crucial for managing schedules, budgets, and operational metrics efficiently.
    • MS Office Products: Proficiency with MS Office suite of products, namely TEAMS, SharePoint, MS Planner, OneNote, MS Forms, and other integrated products is required.
    • Project Management Tools: Familiarity with other project management tools is a desired.
    • Interpersonal Skills: Strong communication and relationship-building abilities are essential for interacting with internal and external stakeholders.
    • Problem-Solving: Effective problem-solving and decision-making skills help address challenges and optimize operations.
    • Time Management: Excellent time management and prioritization skills ensure efficient task execution.
    • Attention to Detail: Being detail-oriented helps maintain accuracy in data processing and administrative tasks.
    • Independence and Teamwork: Balancing independent work with collaboration in a team environment is crucial.
    • Experience delivering information to groups (recorded, virtual and live) utilizing engaging public speaking skills and appropriate collateral.
    • Intermediate+ computer skills with O365 products, virtual meeting tools, project planning tools, and collaborative tools such as Teams and SharePoint.
    • Excellent organization and planning skills; demonstrated ability to resolve problems independently with sound judgment.
    • Current driver’s license (with a low-risk driver rating) and automobile liability insurance.
