    We are seeking a full-time Project Support Specialist to join our team. In this role, you will be responsible for preparing contracts and projects for Production. This role plays a key part in ensuring the seamless execution of projects by collecting necessary information, managing documentation, building and managing projects in ServiceTitan, and coordinating various administrative tasks. The ideal candidate is detail-oriented, organized, and able to communicate effectively with different departments.

    Essential Duties and Responsibilities:

    Proposal and Estimate Management:

    Assist in creating and distributing proposals to clients.

    Set up new projects in ServiceTitan following contract approval

    Documentation Management

    Upload and organize all relevant documents and images to the Project, Job, or Location in ServiceTitan (Project-specific items remain internal, while Job/Location items are visible to field staff).

    Coordinate deposit collection by either creating tasks for the Finance Team or sending invoices directly to clients.

    Prepare necessary job site paperwork, such as Certificates of Insurance (COIs), W-9s, and client-specific documents.

    Update project statuses as necessary.

    Permitting and Utility Coordination

    Apply for new services with utility companies when applicable.

    Handle the application process for required work permits, including requesting checks for permit fees and coordinating with municipal inspectors to ensure proper documentation.

    Schedule utility disconnects and reconnections as directed by contracts, specifically for generator and solar projects.

    Coordinate utility inspections to ensure compliance.

    Diggers Hotline Requests

    Submit Diggers Hotline requests online when necessary.

    Upload digger documents into the project, ensuring they are later added to the job for field technicians to access.

    Communicate the completion of digger-related tasks to the appropriate team members.

    Project Communication and Coordination:

    Maintain clear and timely communication with relevant departments to ensure all project-related tasks are completed efficiently.

    Serve as a liaison between various stakeholders to ensure that project requirements are met and timelines are adhered to.

    Minimum Education and Experience Requirements:

    High school diploma or equivalent

    Strong organizational skills and attention to detail.

    Proficiency in ServiceTitan or similar project management software is preferred.

    Ability to manage multiple projects simultaneously.

    Excellent communication skills, both written and verbal.

    Experience in administrative support, project coordination, or a related field is preferred

    This position is on-site at our office in Elkhorn, WI. This is not a hybrid or remote role. We get to see each other in person every day while we work together as a team!

    Schedule:

    The schedule for this role is primarily Monday – Friday, day-time hours. Later hours and weekends may be required depending on our workload and the needs/schedules of our customers/clients.

    Computer Skills:

    PC proficiency is required, with experience in Microsoft Office applications including Word, Excel and Outlook

    Reasoning Ability:

    Requires the ability to solve practical problems and deal with a variety of concrete variables. Can interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

    Mathematical Skills:

    Must be able to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

    Language Skills:

    Excellent written, verbal, and interpersonal communication skills. Requires mastery of business English language skills to read, analyze, and interpret information, policies and procedures, and/or governmental regulations. Able to write reports and business correspondence.

    Physical Demands:

    While performing the duties of this job, the Employee is regularly required to talk or hear. The Employee is frequently required to sit, stand, walk, and use hands.The Employee must occasionally lift and/or move up to 10 pounds of weight. Specific vision abilities this job requires include close vision and the ability to adjust focus.
