Position Overview:
We are seeking a highly organized and proactive Project Technician to support our president and help ensure smooth operations. The ideal candidate will have exceptional communication skills, a keen attention to detail, and the ability to multitask in a fast-paced environment. This role requires a professional demeanor, strong problem-solving abilities, and the capability to maintain confidentiality while managing sensitive information. This position will start as part-time with a 90 day paid trial period.
Key Responsibilities:
- Provide high-level administrative support to the executive, including managing schedules, organizing meetings, and coordinating travel arrangements.
- Prepare and review correspondence, reports, and presentations.
- Conduct research and compile data as needed for client projects and decision-making.
- Act as a liaison between the executive and internal/external stakeholders; maintain professional relationships with clients and partners.
- Manage and prioritize incoming emails, phone calls, and other communications.
- Maintain organized electronic and physical filing systems for easy retrieval of documents.
- Assist with special projects and initiatives as assigned, providing timely updates and follow-through.
- Coordinate office supplies, equipment, and necessary services, ensuring a well-maintained office environment.
- Attend meetings, take minutes, and distribute action items as required.
- Other additional duties as assigned by the executive.
Qualifications:
- Bachelor’s degree in business administration, communications, engineering, accounting or a related field preferred.
- Minimum of 1 years of experience in an executive assistant or similar role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Strong organizational skills and the ability to manage multiple priorities effectively.
- Excellent written and verbal communication skills.
- High level of discretion and confidentiality.
- Problem-solving mindset with a proactive approach to tasks and challenges.
- Ability to work independently and as part of a team in a fast-paced environment.
- Natural math and computer skills
- Interest in learning programming, database management, and project management.
- Ability to pass a background check.
