    In this front-line role, you’ll be a key player in coordinating tenants and vendors while working closely with an experienced internal team. You’ll manage work orders, inspections, and preventative maintenance while providing essential support for various facilities projects. This is a fast paced role!

    Property Coordinator Responsibilities:

    • Respond quickly to maintenance requests, figure out if repairs or replacements are needed, and coordinate with the right team or vendors.
    • Work with other sites or take the lead on facility projects to share knowledge and make things better.
    • Schedule and oversee regular maintenance for things like HVAC systems and security alarms to keep everything running smoothly.
    • Handle work orders in property management software, making sure they’re categorized correctly and sent to the right vendors or technicians.
    • Coordinate regular preventative maintenance with vendors and tenants, keeping everything documented in the system.
    • Keep property records organized, including leases, vendor contracts, compliance docs, and project files in Dropbox and property management software.
    • Manage the Tenant Portal and Vendor Portal helping tenants and vendors with setup and any issues that come up.
    • Make sure there are enough supplies, parts, and tools on hand to handle maintenance needs.
    • Manage outside services like janitorial, security, and landscaping, ensuring they meet quality standards and contract terms.
    • Follow all safety rules and procedures to keep employees and visitors safe.
    • Conduct maintenance audits
    • Give clear instructions on building procedures and best practices.
    • Handle coding and approvals for payments on subscriptions, utilities, and project costs.
    • Organize and update records like blueprints, maintenance logs, and property details.

     

    Property Coordinator Qualifications:

    • 3+ years of relevant working experience, preferably in property management or facilities.
    • Understanding of building controls (electrical/HVAC/lighting/sprinkler) systems.
    • Proficiency in MS Office (including Excel) and property management software (Yardi preferred)
    • Ability to perform consistently and professionally.
    • Ability to work independently and collaborate effectively with a team.
    • Ability to troubleshoot and facilitate repairs of facility maintenance problems
    • Organized with a friendly demeanor.
    • Strong ability to prioritize, organize, and manage multiple tasks simultaneously.

    Compensation: $58,000 - $70,000 + annual bonus (5-7%)
