Property & Leasing Assistant-ARM
Job Summary: This position is administrative support for ARM of Save the Family Foundation. Affordable Rental Movement (ARM) is the housing program of Save the Family Foundation. With assistance of HUD and local jurisdictions, ARM acquires single family homes in the East Valley to help provide affordable housing. ARM has over 160 single family homes in their portfolio. The ARM Leasing Administrator will assist the Leasing Manager, Property Maintenance Supervisor, and Director of Property Development .
Key Responsibilities:
Confirm all leasing paperwork, move-in files, and project files have been recorded and filed appropriately.
Maintain ownership of property management database – Buildium and Sale Force. Ensure all data, communication and updates are properly documented.
Create and maintain all property and maintenance electronic & paper files.
Maintain the ongoing ARM waitlist and application process.
Adhere to compliance, monitoring, and reporting required by HUD and funding sources.
Ensure communication and correspondences with ARM Tenants have been processed, properly recorded and filed appropriately.
Answer phone calls and emails in a professional and friendly manner.
Coordinate with ARM Property Maintenance and Leasing Manager to ensure new tenant move-in is ready.
Facilitate and communicate work-orders with Property Maintenance.
Uphold open communication with Leasing Manager and Property Maintenance.
Manage all invoicing through the requisition process.
Screen ARM applicants by conducting interviews and gathering required paperwork.
Solicit request for proposals from vendors, subcontractors, and general contractors for service contracts and improvement projects.
Coordinate and manage ARM’s home inspection process.
Ensures all homes are HOA compliant and oversees any correspondences regarding HOA compliance.
Attend trainings and meetings as required.
Qualifications:
High School Diploma is required. Associates degree is preferred.
Adherence to Attendance and schedule communication
Must be over the age of 21 for liability purposes
Minimum of 1-year experience in property management preferred.
Ability to meet deadlines in a timely and organized manner.
Ability to multi-task and possesses high organizational skills.
Maintains a professional appearance and behavior.
Proficient in Microsoft Office, including Excel, Word and Power Point.
Outstanding interpersonal communication skills. Communicates effectively, both verbally and written.
Position may require driving to various job sites to provide services, a valid Arizona driver’s license, reliable transportation, current auto insurance, and clean driving record are required.
Valid Arizona Fingerprint Clearance Card OR must qualify for a valid Arizona Level One Fingerprint Clearance Card.
Eligible to work in the United States of America.
