Compensation: $16.00 - $20.00 per hour commensurate with experience & ability

Property Management Administrative Assistant-On-Site, for HOA SCHEDULE: Monday -- Friday 9:00 am -- 5:30 pm – or as Adjusted to meet client needs.
REPORTS TO: Property Manager
SUMMARY: The On-Site Property Management Administrative Assistant will be primarily tasked with assisting the Property Manager with general matters in the operation of the community, to ensure resident satisfaction, an attractive and clean community, and ensure goals of Board of Directors are carried out efficiently and timely.

The head office is located in West Palm Beach with a Broward office located in Ft. Lauderdale. DUTIES AND RESPONSIBILITIES:
Primary phone attendant which includes assisting residents with accessing payment website, submitting work orders, etc. – also email correspondence.
Parking Decal Management/tracking
Lease Management/tracking
New Resident orientation
Processes ARC requests
Calls vendors for PM when needed and follows up on proposal requests and/or service requests, as well as Work order distribution to vendors, tracking, updating, closing.
Coordinates with homeowners for work order scheduling as needed
Receives daily maintenance report and submits to PM
Answer general calls from homeowners and provide information and assistant
File documents and records accurately and efficiently-including maintaining required records on Association’s website.
Maintain and update various databases as needed on a daily basis -- Must be proficient with the use of computer equipment, scanners and their software
QUALIFICATIONS:
Parking Decal Management/tracking
Property management or Real Estate experience a strong plus
MUST be completely proficient with all aspects of computer use -- effective internet searches, Microsoft programs, scanning & filing, PDF use, creating forms, and all general programs -- proper typing, spelling, and grammar a must.
Prior excellent customer service experience
MUST be an effective communicator -- proper use of English written and oral, diplomatic in interactions with clientele, polite and able to diffuse volatile situations.
Must have an absolute commitment to providing the highest level of customer service
Must be able to perform under pressure, meet constant deadlines, multitask, be able to handle ongoing interruptions, work in harmony with differing personalities
High School diploma, or equivalent.
Excellent organizational skills (oral and written) and the ability to excel at details, multi-tasking and working under pressure.
Bilingual (Spanish) an asset but not required.
Compensation:
