The Vendor Manager position is an opportunity to join fast growing property management company, specializing in the management of Boston area condominium associations. The job position will require approximately 50% field work and 50% office work.
Field Job Responsibilities include but are not limited to:
Periodic onsite presence at properties to monitor vendor performance and assure full compliance with standards established in service agreements and vendor contracts
Meet vendors on-site to provide access, facilitate the scope of work, and oversee maintenance through completion
Periodically visit properties to inspect and identify immediate and future maintenance needs and routinely compile findings in inspection reports
Promptly submit work orders for all non-routine services and site visits
Participation in condominium association and owner meetings (occasional evenings)
Expected to be on-call ~5 days/month for portfolio emergency needs
Additional compensation is rewarded for both on-call dates and emergency dispatch
Office Job Responsibilities include but are not limited to:
Routinely update new and in-progress tickets through completion within the company's property management software.
Establish new tickets based on requests from customers, company partners, or by his/her own accord.
Communication of maintenance schedules and progress updates to residents and trustees
Reporting and tracking of portfolio wide maintenance production
Maintaining digital and physical office files for reference by various internal departments
Schedule vendor meetings
Drafting Memos, emails, or making phone calls to customers to communicate property matters including but not limited to: maintenance schedules, Project bids, etc.
The Candidate must be proficient with using a smart phone to utilize email, text message and the mobile application of the company software. The candidate should possess strong oral and written communication skills. The candidate must have a valid US drivers license and vehicle.
