  • Responsibilities

    We are seeking a highly organized and detail-oriented Purchasing and Receivables Specialist to manage essential operational functions, including purchasing, invoicing, and accounts receivable. This role plays a critical part in ensuring smooth day-to-day operations, maintaining accurate records, and fostering strong relationships with vendors and clients.

    The ideal candidate will bring a proactive approach to managing orders, collections, and purchasing activities while contributing to overall organizational efficiency.

    Key Responsibilities

    • Sales Order and Invoicing Management

      • Create, update, and manage sales orders on a weekly basis, ensuring all modifications (e.g., change orders) are accurately reflected.

      • Prepare and issue weekly client invoices with a focus on accuracy, completeness, and timeliness.

    • Purchasing and Inventory Management

      • Coordinate weekly purchasing activities, including tracking orders and ensuring timely delivery of materials.

      • Monitor and restock office and breakroom supplies on a regular basis to maintain adequate inventory levels.

    • Collections and Accounts Receivable

      • Oversee accounts receivable (AR) processes, ensuring timely collections from clients and resolving outstanding balances professionally.

      • Follow up on overdue accounts, addressing payment issues or disputes while maintaining strong client relationships.

    Qualifications

    • High school diploma or equivalent; additional education in finance, business, or related fields is preferred.

    • 3+ years of proven experience in purchasing, invoicing, or AR management.

    • Proficiency in Zoho Books or similar purchasing and invoicing software.

    • Excellent organizational and time-management skills, with the ability to prioritize tasks effectively.

    • Strong written and verbal communication skills, along with a professional and collaborative demeanor.

    Preferred Skills

    • Background in bookkeeping or financial operations.

    • Familiarity with the technology systems integration industry.
