    Job Overview:

    We are looking for an organized and detail-oriented Purchasing Coordinator to support the Purchasing Specialist. This role is critical in managing the daily purchasing operations, including processing orders, tracking deliveries, and managing vendor relationships. The Purchasing Coordinator will be responsible for ensuring a smooth and efficient flow of materials, products, and supplies, supporting the company's inventory and production needs while maintaining cost efficiency.

    Key Responsibilities:

    1. Support Purchasing Operations:

    Assist the Purchasing Specialist in generating and processing purchase orders based on production and inventory needs.

    Track and monitor purchase orders to ensure timely and accurate delivery of goods and materials.

    Communicate with suppliers to resolve issues regarding order discrepancies, delayed shipments, or product quality concerns.

    1. Vendor Communication & Management:

    Assist in maintaining and updating a list of approved vendors and suppliers.

    Help coordinate with vendors to negotiate pricing, lead times, and delivery schedules as directed by the Purchasing Specialist.

    Collaborate with vendors to resolve any issues related to delayed or incomplete orders.

    1. Inventory Support:

    Collaborate with the inventory team to ensure accurate and timely inventory management.

    Track inventory levels and assist in identifying potential stock shortages, ensuring the timely reordering of materials.

    Update inventory systems and records to reflect purchases and receipts accurately.

    1. Documentation & Record Keeping:

    Maintain accurate and organized records of all purchasing transactions, including purchase orders, invoices, receipts, and communication with suppliers.

    Assist with preparing reports on purchasing activities, vendor performance, and inventory status.

    Ensure compliance with internal processes and company policies for record-keeping and documentation.

    1. Cost Control & Budget Support:

    Assist in tracking purchasing expenditures to ensure they align with the allocated budget.

    Help identify cost-saving opportunities in collaboration with the Purchasing Specialist and other departments.

    Monitor purchasing trends and suggest process improvements to optimize efficiency and reduce costs.

    1. Cross-Department Collaboration:

    Work closely with other departments such as production, sales, and logistics to ensure that purchasing aligns with operational needs.

    Provide timely updates on order status and product availability to internal teams.

    Assist with any additional sourcing needs from other departments when required.

    1. Continuous Process Improvement:

    Help identify and implement improvements in the purchasing process to streamline operations.

    Stay updated on industry trends, new suppliers, and procurement tools that could benefit the company.

    Support the implementation of any new software or systems to improve purchasing processes.

    Qualifications:

    Education: Associate’s or Bachelor’s degree in Business, Supply Chain Management, or a related field.

    Experience: Minimum of 1-2 years of experience in purchasing, inventory management, or administrative support within a procurement environment.

    Skills:

    Strong organizational skills and attention to detail.

    Effective communication skills to collaborate with vendors and internal teams.

    Proficiency in Microsoft Office Suite (especially Excel) and basic knowledge of procurement software (ERP, MRP or other purchasing tools).

    Ability to handle multiple tasks and prioritize work efficiently.

    Problem-solving skills and ability to resolve purchasing issues in a timely manner.

    Preferred Qualifications:

    Familiarity with purchasing software or ERP systems.

    Knowledge of inventory management and supply chain processes.

    Certification in procurement or purchasing (e.g., CIPS, APICS) is a plus.

    Physical Requirements:

    Ability to sit, stand, or move around an office or warehouse environment.

    Ability to occasionally lift and carry materials or documents up to 30 pounds
