  • Responsibilities

    Part-time Clerical for the Morgan County Extension Office, responsible for supporting office functions and operations.

    DUTIES : ****

    Answers telephone and greets office visitors, providing information and assistance, responding to inquiries, and/or directing callers to appropriate individuals or departments, as needed.

    Handles mass mailing and emails, including sending information to all members, specialty, 4-H Council, and leaders.

    Assists other staff with 4-H supplies sales and 4-H enrollment fees.

    Creates and approvals, entries, lists, and mailing labels from 4Honline, Fair Entry software, and Excel.

    Updates County Extension website using Cascade software.

    Creates and maintains operational legal binders for a variety of events and personnel, including but not limited to, workshops, camps, event schedules, 4-H Council, clubs and leaders, and newspaper articles.

    Creates flyers for 4-H events.

    Assists 4-H Educator with volunteer applications, background checks, and scheduling volunteer interview appointments.

    Maintains awards inventory, including project manuals and tenure pins.

    Performs related duties as assigned.

    JOB REQUIREMENTS AND DIFFICULTY OF WORK: ****

    High school diploma or HSE.

    Working knowledge of standard office policies and procedures with computer skills, including word processing, spreadsheet, presentation, email, internet, and Department-specific software systems, and ability to apply such knowledge to a variety of interrelated processes, tasks, and operations.

    Working knowledge of standard English grammar, spelling, and punctuation, and ability to prepare correspondence and documents and write news releases, as required. Ability to maintain accurate files.

    Ability to file, post, and mail materials.

    Ability to properly operate standard office equipment, including computer, telephone, fax machine, copier, and printer.

    Ability to understand, memorize, retain, and carry out written or oral instructions and present findings in oral or written form.

    Shall comply with all employer and Department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.

    Ability to provide public access to or maintain confidentiality of Department records and information according to state requirements.

    Ability to count, compute, and make simple arithmetic calculations.

    Ability to apply knowledge of people and locations and to plan and layout assigned work projects.

    Ability to effectively communicate orally and in writing with co-workers, other County departments, 4-H Council, volunteers, and the public, including being sensitive to professional ethics, gender, cultural diversities, and disabilities.

    Ability to work alone with minimum supervision and with others in a team environment, work on several tasks at the same time, and work rapidly for long periods, occasionally under time pressure.

    Ability to occasionally work extended hours.

    RESPONSIBILITY : ****

    Incumbent performs duties according to seasonal deadlines and a flexible, customary routine. Incumbent receives indirect or occasional supervision with assignments guided by definite objectives using a variety of methods or procedures and refers to supervisor for unusual matters, such as policy interpretations. On rare occasions, decisions are made in the absence of specific policies and procedures. Errors are primarily detected or prevented through prior instructions from supervisor. Undetected errors may result in loss of time to correct error and/or inconvenience to other agencies and/or the public.

    PERSONAL WORK RELATIONSHIPS: ****

    Incumbent maintains frequent contact with co-workers, other County departments, 4-H Council, volunteers, and the public, for the purpose of giving and receiving information.

    Incumbent reports directly to County Extension Director.

    PHYSICAL EFFORT AND WORK ENVIRONMENT: ****

    Incumbent performs duties in a standard office environment, including sitting/walking at will, sitting for long periods, lifting/carrying objects weighing under 25 pounds, reaching, bending, keyboarding, close/far vision, color/depth perception, speaking clearly, and hearing sounds/communication.

    Incumbent is occasionally required to work extended hours.
