We’re looking for a driven and dedicated real estate administrative assistant to join our growing team. Your job will be to complete and file the appropriate paperwork for transactions, oversee important deadlines and notify clients when necessary, adhere to legal and tax withholding requirements, and coordinate schedules for final walkthroughs and other appointments. You’ll also work with the team to manage the production of all marketing materials and facilitate local events to foster connections with people in the community. Responsibilities: • Plan travel arrangements, open houses, final walkthroughs, and other necessary engagements • Fill out all appropriate paperwork and file in the customer database to assist the real estate team in closing deals • Supervise production of all online marketing materials as well as brochures and flyers for events to professionally represent the real estate team • Achieve company objectives and regularly compile a progress report to present to the team • Ensure each transaction complies with legalities and any tax withholdings are complete • Providing outstanding customer service and prompt communication to clients and referral sources • Maintaining the Firm Calendar of meetings, client appointments, closings, and deadlines • Updating in case management the clients’ projects with any relevant matter events, deadlines, and reminders • Opening and closing case files • Requesting title, lien, tax, surveys, estoppels, payoffs, and any other document needed to meet title requirements • Processing and reviewing the title • Preparing closing statements and closing disclosures • Coordinating due diligence for a variety of commercial and residential real estate transactions, including acquisitions and dispositions, borrowings, etc • Preparing and filing a variety of documents, including, deeds, mortgages, UCC financing statements, etc • Preparing and distributing closing binders • Preparing closing checklists and coordinating the closing process for various transactions commercial and residential real estate transactions • Assist with finalizing policies of title insurance and other post-closing matters • Confirming wire instructions verbally to prevent wire fraud • Preparing packages for signing and notarizing (in person and remotely) Qualifications: • Communicates well, both verbally and written • Flexible working schedule to accommodate clients on nights and weekends • High school diploma or equivalent required • License for real estate is preferred but not required • Understands how to utilize a database for processing client information and how to use Microsoft Office to create necessary documents • A minimum of 3 years of prior experience in the real estate closing process is required • You must be able to process a closing file from start to finish • Excellent Spanish, verbal and written, is strongly preferred Compensation: $50,000 yearly
