We’re searching for a diligent real estate administrative assistant. You’ll be responsible for managing all paperwork in a timely manner, notifying clients of approaching deadlines, ensuring each deal goes through the proper legal channels, scheduling appointments and walkthroughs, and providing superb customer service. In addition, you’ll work with other staff members to market our brand and arrange company events in the community. Responsibilities: • Take part in employee development programs to strengthen existing skill sets in real estate administration • Coordinate schedules to ensure optimal open houses and final walkthroughs, travel arrangements, and general appointments • Track important dates and time limits for transactions and notify relevant stakeholders as needed • Keep track of all transaction documents in the client database and complete the necessary paperwork • Produce all marketing materials including brochures, flyers, online marketing, social media posts, etc. to continuously build our brand • Compile and distribute weekly/monthly reports and communicate key results to the rest of the team to ensure company goals are being met • Deliver concierge-level customer service to sellers, buyers, and lenders, to improve customer satisfaction ratings • Assist the real estate team in facilitating local events to foster connection to people in the neighborhood • Phone Communication: Handle phone communications with professionalism and courtesy, ensuring a positive experience for clients. • Input Listings: Accurately input and update property listings, ensuring all details are correct and up to date. • Association Follow-ups: Act as the primary contact for communication with real estate associations, gathering necessary information and resolving inquiries promptly. • Self-Management: Demonstrate the ability to work independently, set priorities, and manage time effectively to meet deadlines and achieve productivity goals. • Understanding of Real Estate Process: Utilize knowledge of the real estate industry to anticipate the needs of the team and assist in streamlining operations. • Availability After Hours: Be willing and available to assist with tasks or issues that arise outside regular working hours, demonstrating commitment to the team and clients. Qualifications: • Previous experience in the real estate industry • Has knowledge of Microsoft Office and customer relationship management software • License for real estate is preferred but not required • Flexible working schedule to accommodate clients on nights and weekends • Excellent written and verbal communication skills Compensation: $40,500 - $65,000 DOE
