  • Responsibilities

    We’re hiring a motivated real estate administrative assistant to join our growing team. Responsibilities include administrative duties such as keeping track of all transaction documents in the client database for our real estate agents, monitoring and notifying clients of important deadlines, complying with legal procedures, and planning appointments and final walkthroughs. You’ll also support the team by marketing the company on social media and planning company events. The ideal candidate should be a great communicator who is driven and highly detail-oriented. Responsibilities: • Deliver concierge-level customer service to sellers, buyers, and lenders, to improve customer satisfaction ratings • Generate status reports for the team on a regular basis to make sure company targets are being properly prioritized • Fill out all appropriate paperwork and file in the customer database to assist the real estate team in closing deals • Monitor deadlines and provide notices to appropriate parties when necessary • Schedule necessary appointments with all parties, including open houses and the final walkthrough • Offer Preparation: Draft and submit offers on behalf of team leaders and agents. • Contract Analysis: Review, interpret, and ensure compliance with purchase agreements, addendums, and other real estate contracts. • CRM Management: Maintain and manage the team's CRM system, ensuring data accuracy, tracking leads, and optimizing workflows. • Appointment Scheduling: Coordinate and schedule showings, client meetings, inspections, appraisals, and closings. • Client Support: Serve as a point of contact for client inquiries and ensure timely communication between clients, agents, and transaction partners. • Document Management: Organize, store, and manage important documents and transaction files in compliance with regulatory standards. • Administrative Support: Assist with marketing, social media, and other administrative duties as needed. Qualifications: • Flexible working schedule to accommodate clients on nights and weekends • Possesses a basic understanding of Microsoft Word, Excel, PowerPoint, and customer database systems • Communicates well, both verbally and written • Previous experience in the real estate industry • Real estate license preferred • Active Real Estate License in Minnesota or Wisconsin (required). • Real Estate Knowledge: Strong understanding of real estate contracts, industry processes, and transaction timelines. • Technical Proficiency: Expertise in CRM platforms (e.g., Follow Up Boss, KV Core, or similar), Microsoft Office Suite, and other real estate-related software tools. • Attention to Detail: Ability to analyze complex contracts and ensure accuracy and compliance. • Organizational Skills: Strong time management skills with the ability to prioritize and manage multiple projects simultaneously. • Customer Service: Excellent communication skills with a focus on professionalism, empathy, and problem-solving. • Team-Oriented: Works well in a collaborative environment while taking initiative independently when needed. Compensation: $55,000 - $85,000
