Real Estate Executive Assistant

Responsibilities: Administrative Support: • Manage executives’ calendars, schedule meetings, and coordinate travel arrangements. • Prepare meeting agendas, take detailed minutes, and follow up on action items. • Handle incoming and outgoing communications, including emails, calls, and correspondence. Project Coordination: • Assist with planning and execution of special projects, ensuring deadlines are met. • Conduct research and compile reports, presentations, and briefing materials for executive use. Office Management: • Organize and maintain files, records, and confidential documents. • Coordinate with vendors, stakeholders, and team members to ensure smooth office operations. Relationship Management: • Serve as a point of contact between executives and internal/external stakeholders. • Build and maintain positive relationships with clients, vendors, and partners. Operational Efficiency: • Identify and implement process improvements to enhance productivity and workflow. • Monitor and prioritize tasks, ensuring efficient time management for executives. Qualifications: Experience: • Proven experience as an executive assistant, administrative assistant, or similar role (3+ years preferred). • Experience in real estate, finance, or a related industry is a plus. Skills: • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools. • Exceptional verbal and written communication skills. • Strong organizational and multitasking abilities. • High level of professionalism, discretion, and confidentiality.
