    We’re looking for a proactive, highly organized listing coordinator to play a key role on our growing team. You’ll work with sellers throughout their entire listing process, compile listing information and research for comparable properties, assist homeowners with completing contracts, and enter MLS listings in the database. You’ll also assist in the preparations to prepare homes to sell, schedule showings, attend showings, and generate reports to display sales activity. Responsibilities: Reports • Prepare start-of-day and end-of-day reports to keep the team informed about listing progress. Pre-Listing • Research HOA, deed restrictions, and management companies. • Prepare listing presentation • write Buyer's Contract • Gather essential documents such as surveys, flood elevation certificates, and flood insurance details. • Maintain a vendor list for necessary services. • Check for rental and pet restrictions. • Understand property rules and regulations. • Determine what's covered by maintenance fees. • Assist sellers in completing required listing paperwork. Listing Agreement • Email all required listing documents to the seller. • Order any necessary items, such as cookies or promotional materials. Home Preparation • Schedule vendors, including stagers, painters, landscapers, window cleaners, and deep cleaning services. • Review and compare quotes from vendors. • Coordinate appointments with sellers for access to the property. Listing Photos / Video • Order listing photos, videos, and any special features like Zillow 3D tours. • Be on-site for photos and videos, coordinating with agents and owners. • Manage the upload and arrangement of photos in MLS. Install Lockbox Sign • Order and install signs as needed. • Obtain spare keys from sellers. • Update listing information in Supra.com. • Verify that sign and lockbox installations are correct. • Oversee the check-in and check-out of lockboxes by agents. • Consider the use of combo lockboxes. Manage Seller’s Schedule for Showings • Scheduling all showings. • Set up ShowingTime according to the seller's requirements. • Ensure accurate scheduling of showings. • Attending showings. Launch in MLS • Input and launch all listings in MLS. • Launch listings on Co-star/Loopnet (for Commercial listings only). • Insert photos and videos. • Verify that videos and photos are properly displayed on websites. • Input open house dates in MLS. • Notify the client when the listing is live, including providing relevant materials. Listing Marketing • Coordinate coming soon agent announcements via email blast. • Send just-listed email blasts through Follow-Up Boss. • Notify and share with the seller when social media marketing is launched. • Plan open house events (see Open House Scheduling below). Manage Open House Scheduling • Coordinate open house and broker's open times with the seller. • Market open houses, update MLS information, and advertise to neighbors. • Plan for food and refreshments for open house events. • Review the Marketing Plan Weekly and Ensure Implementation. • Conduct weekly reviews of the marketing plan. • Prepare appraisal packets when necessary. • Monitor home inspections and showings. Property Checks of Vacant Properties (If Owners Aren’t Local) • Conduct weekly property checks on vacant properties, ensuring they are well-maintained. • Notify if any issues need attention. • Provide Weekly Listing Activity Updates to the Sellers Team (Every Monday). • Share showing time reports, open house visitation numbers, and marketing and advertising analytics reports. • Update the team during Wednesday sales meetings. Join Meetings • Attend Wednesday team meetings. TC Back-up • Respond to agent inquiries and questions. Additional Requirements: • Hold a real estate license. • A Pinellas County local. • Schedule and coordinate quarterly events. • Be available for daily phone calls and possibly after-hours assistance. • 3 character reference. Qualifications: • A real estate license is required. • Must have 2-5 years of experience. • Strong organizational and communication skills. • Attention to detail and ability to manage multiple tasks. • Previous experience in a similar role is a plus. • Proficiency in real estate software and MLS systems. • Excellent customer service and interpersonal skills. • Self-motivated and able to work independently. • Availability for occasional after-hours work and meetings. Compensation: $40,000 - $50,000 yearly
