Job Type: In office, full time, Monday through Friday from 9:00 AM - 6:00 PM. However, your total hours will be dictated by the time needed to obtain results and will vary from week to week, and in some weeks, you may be required to work extended hours (such as during evenings or weekends). Remote: No Benefits: Once you have completed 90 days of service, you will receive a $250 per month stipend as a company contribution towards the medical benefits of your own choosing. Paid Time Off: Once you have completed 90 days of service, you will begin accruing and receiving vacation at a prorated rate equivalent to 10 days of paid vacation each year. Responsibilities: • Run Calendly • Schedule and confirm all appointments, personal and professional • Schedule all trips, flights, hotels, car rental, etc. • Organize, design, and update personal and professional calendars based on priorities (ABC priority and income-producing) • All admin tasks and personal assistant duties • Update and organize CRM (FUB) • Basic follow-up phone calls and inquiry calls • Respond to texts, emails, and direct messages • Post on social media and respond to all messages • Organize and prioritize all emails • Organize all 1 on1 tasks and notes at the end of the day and send a written list of top tasks and call me with these for the next day • Send gifts, books, etc • All basic errands • Organize office training and meetings • Order and obtain everything for office events • Research on market activity, migration trends, etc. • Cross-train on all positions • Client Coordination: Arrange and oversee all property showings and manage logistics with team members and clients. • Operational Efficiency: Implement and optimize operational procedures to boost productivity and efficiency. Use technology and tools to enhance process management. • Develop checklists/Standard Operating Procedures and timelines for property preparation and transaction milestones, with regular progress updates to ensure compliance and efficiency. • Project Management • Manage Corefact postcards-design a weekly postcard • Check each document to verify it has all the correct signatures and dates so the transaction process goes smoothly • Input client information into the client database system, track transaction activities, and submit each necessary document to the office broker for file compliance • Prep team lead for all appointments Qualifications: • Experience as an administrative assistant or in a similar role • California Real Estate License or willing to obtain • Proficient in G-suite • Proficiency in Windows and IOS • Strong organizational skills with the ability to prioritize tasks effectively • Excellent written and verbal communication skills • Attention to detail and problem-solving skills • Ability to handle confidential information with discretion • Customer service-oriented mindset with a friendly and professional demeanor Compensation: $70,000 - $75,000 yearly
