Director of First Impressions Keller Williams Northern Michigan, based in Traverse City, MI, is in search of a talented and personable Receptionist/Director of First Impressions (DOFI). The role requires someone adept at thriving in a fast-paced, dynamic environment, capable of managing shifting priorities daily in response to the evolving needs of the real estate market center. The ideal candidate should be detail-oriented, experienced, and adept at balancing productivity with a fun demeanor. The workplace maintains a business casual atmosphere, with working hours expected to be from 8:30 am to 5 pm, offering some flexibility on start and end times. - The perfect candidate will be positive, outgoing, eager to learn, an effective communicator, detail-focused, tech-savvy, and proficient in technology, particularly Microsoft Office. As the face of our Market Center, the DOFI will greet agents and clients warmly and genuinely. Responsibilities include managing the opening and closing of the reception area, guiding guests appropriately, informing agents and staff of arrivals, handling phone calls, and transferring them to the relevant agents within the Market Center. Additionally, the role involves swiftly entering listing and sales data for agents in a fast-paced, highly productive office setting. Event coordination support will also be part of the job. Compensation: Pay Range: $45,000 - $50,000 Responsibilities: • Welcoming visitors by greeting them, in person or on the telephone; answering or referring inquiries, assisting in recruiting efforts to help grow the organization. • Setting up training and meeting rooms for daily events. • Maintaining market center and training room cleanliness and organization. • Answering phone calls and directing correspondence to the appropriate parties. • Maintaining continuity within the Market Center by building relationships with agents and being a culture leader. • Assisting with communication and service of agents in a fast-growing office. • Creating Market Center notifications and distributing them via email. • Assisting management team with agent onboarding and administrative duties. • Assist in coordinating Market Center events. • Supporting the office leadership as needed. • Handling checks, mail, and packages as they arrive in the office. • Providing administrative and technical support to agents as needed. Qualifications: • Ability to work in a fast-paced environment, handle multiple tasks, and identify work priorities. • Strong communication, customer service, relationship building, multi-tasking, organizational skills, and strong attention to detail. • Ability to manage, organize, and execute events and multiple projects. • Positive Can-do Attitude. • Ability to take the initiative and identify needs. • Neat, clean, professional appearance. • Proficiency in using Google Suite - Google Calendar, Gmail, and Google products such as Drive, Docs, and Sheets. Microsoft Office including Word, Excel, PowerPoint, and Publisher. • Technology skills relating to office copy and communication systems as well as computer, projector, and technology setup for meetings and classes. • Previous experience or knowledge of the real estate industry is a plus. • 2 years of relevant experience (administrative, customer service) or equivalent education. • Strong training skills and effective listening skills. • Graphic design and marketing experience are a plus.
