Job Description, Primary Duties and Responsibilities:
· Lead marketing initiatives for the firm through electronic print and design output and assist business unit leaders with all marketing objectives by working with vendors and contractors.
· Provide administrative support and coordination with internal business units including the Real Estate Brokerage and Property Management teams.
· Assist the Property Management team with communications to tenants, owners and vendors.
o Develop and distribute building communications
o Follow up with daily service and maintenance requests
o Maintain and update vendor files (insurance, W9’s and other required documentation)
· Assist the Real Estate Brokerage team with internal and client communications.
o Assist the Managing Director in preparing reports, listing materials and real estate forms
o Coordinate weekly advisor meetings and agendas
o Marketing email blasts weekly and/or as needed by brokerage advisors
o Maintaining and updating client databases
· Assist the accounting team in managing vendor invoices and payments.
· Assist in designing and implementing office policies, standards and procedures.
· Greeting clients and visitors when they arrive at the office.
· Scheduling and organizing conference rooms, meetings and events.
· Manage office/kitchen supplies, inventory and equipment.
· Ensuring the office remains clean and organized.
· Coordinating with IT infrastructure vendor.
Skills and Requirements:
· Strong ability to multi-task with a high level of organization, professionalism, and attention to detail.
· Excellent communication and human relations skills and the ability to work in a fast paced and entrepreneurial environment.
· Customer focused/centered approach.
· Ability to exchange ideas, information and opinions with team members to formulate policies, procedures and programs to achieve joint decisions/solutions.
· Ability to establish a cooperative working atmosphere amongst team members.
· Ability to maintain a calm demeanor in tense and pressure situations.
· Previous marketing, sales and negotiation experience is helpful.
