    Job Summary

    We are seeking a motivated and outgoing Receptionist/Administrative Assistant to join our team. In this role, you will provide support to our office employees, ensuring they have all the information and resources they need to perform their best. Your responsibilities will include answering phone calls, scheduling appointments, and writing correspondence. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor.

    The position’s essential functions include but are not limited to the following:

    Responsibilities

    Answer incoming phone calls and route them to the appropriate person

    Schedule appointments for clients to pick up settlement checks

    Disburse settlement checks to medical providers

    Scan all incoming mail and upload e-faxes, digital files and data to server and FileVine, and verify that scanned documents are clear and legible.

    Organize and archive records and documents - both physical mail and scanned documents.

    Make copies of paperwork and distribute as needed.

    Retrieve data and files for other departments and personnel.

    Type and perform data entry to rename scanned documents, enter new case information into FileVine, etc.

    Write emails and letters and distribute them appropriately

    Check and correct documentation and placement of previously filed documents.

    Respond to client’s inquiries for information.

    Maintain an organized filing system for both physical files and electronic files

    Update filing systems and devise new filing and organizational and storage systems for data and documents as needed.

    Secure and protect the privacy of documents.

    Management retains the right to add to or change the duties of this position at any time.

    Qualifications

    Spanish speaker is a must, as our client base is mostly Hispanic and you will have direct contact with clients on a daily basis.

    High school diploma/GED required, Associate’s degree or administrative training is preferred

    Highly organized with excellent time management skills and the ability to prioritize projects

    Excellent computer skills and knowledge of Microsoft Word, Excel, and Adobe PDF, with a typing speed of at least 65 wpm

    Knowledge or experience with FileVine is a plus

    Previous experience as an Administrative Assistant or in a similar position

    Familiarity with standard office equipment such as computers, printers, and fax machines

    Candidates should possess a valid driver's license, have their own transportation, and be authorized to work in the United States on a full-time basis for any employer.
