    JOB TITLE : School Secretary/Receptionist- BiLingual

    TYPE OF POSITION : Classified

    REPORTS TO : Building Principal

    POSITION PURPOSE : Performs secretarial duties in elementary or secondary school. Schedules appointments, gives information to callers, takes dictation, and otherwise relieves principal and associate principal of clerical work and minor administrative and business detail.

    ESSENTIAL FUNCTIONS : To perform this job successfully, an individual must be able to perform each essential function satisfactorily.

    • Posts outgoing mail and distributes incoming mail daily. Handles office correspondence at the direction of the dean of students.
    • Takes dictation in shorthand or by machine and transcribes notes.
    • Maintains correspondence regarding contracts, six-day letters, Saturday School notices, and in-school suspensions.
    • Maintains records for dean of students including typing suspensions and expulsions and computer entries of referrals.
    • Maintains student files as relates to attendance and discipline.
    • Answers telephone and gives information to callers or routes call to appropriate official and places outgoing calls.
    • Meets and assists students, staff, and the public at the reception counter. Prepares for and signs in substitute teachers.
    • Selects, trains, and supervises student workers.
    • Maintains parking permit file.
    • Helps with teacher checkout at the end of the year.
    • Dispenses supplies to teachers.
    • Assists during fire drills
    • Translate documents and office correspondence
    • Translate phone calls for principal’s message home
    • Translate at Parent Teacher Conferences
    • Translate at IEP and Attendance meetings
    • Performs other duties as assigned.

    QUALIFICATIONS :

    • Six months to one year related experience and/or training; or equivalent combination of education and experience.

    High school diploma.

    • Ability to prepare written reports and correspondence.
    • Ability to communicate effectively with groups of students and parents.
    • Skills in human relations.
    • Ability to plan and organize; good work habits.
    • Ability to type accurately at a minimum speed of 50 words per minute. Employee should also be able to use the machines, tools, equipment, and work aids which may be representative, but not all inclusive, of those commonly associated with the type of work, i.e., computers, printers, copiers, and postage meter.
    • Other qualifications that the School Board may require.
