Our Receptionist - Client Intake Specialist will help create a welcoming and professional first impression of the Firm by putting callers and visitors at ease and making them feel comfortable. You will interact and build relationships with clients primarily over the telephone but sometimes in person. This position requires the right combination of empathy, patience, and encouragement. This position involves occasional administrative duties related to scanning mail, filing, and assisting other team members, as well as interpersonal duties to assist the firm in providing a high standard of service to clients. You should be empathetic and help put them at ease. • You will be answering many calls and working on many tasks and projects concurrently, over long periods of time. We expect you to keep track of key dates, keep the right people informed, and prioritize your time so that we never miss a deadline. • You should treat a caller or visitor to the firm at 4:30 pm on Friday with the same care and compassion as one on Monday morning at 9 am. • You will need to be organized and efficient to do your job well. • Accuracy and attention to detail are required to avoid mistakes that can cost clients dearly. • Occasional filing, scanning, copying, and other administrative tasks are a part of this position. • The ability to follow instructions and learn new systems is necessary. • You must be proficient with Microsoft Office, including Word, Excel, and Outlook.
