Overview: The Receptionist will perform a variety of administrative and clerical tasks. The ideal candidate will serve as the first point of contact for clients, visitors, and employees, providing excellent customer service and ensuring smooth operations of the office.
Duties and Responsibilities:
- Welcome guests, clients, and employees in a friendly and professional manner, and direct them to the appropriate person or department.
- Manage the main phone line by answering, screening, and forwarding calls. Take messages and provide information to callers as necessary.
- Schedule appointments and meetings, maintain office calendars, and coordinate conference room bookings.
- Handle incoming and outgoing mail, packages, and deliveries, ensuring they are distributed to the correct recipients promptly.
- Provide basic administrative and clerical support, including data entry, filing, scanning, and handling office supplies inventory.
- Ensure the front desk area is organized and presentable, with all necessary materials stocked (e.g., pens, forms, and brochures).
- Provide directions or information to visitors and clients regarding the company's services, facilities, or local amenities.
- Operate office equipment such as printers, copiers, and fax machines, and assist with troubleshooting minor issues.
- Maintain a visitor logbook and work closely with security guard to manage all external visitors to executive suite.
- High School diploma or equivalent (associate or bachelor’s degree in a related field is a plus).
- Previous experience as a receptionist, administrative assistant, or in a related role is preferred.
