    Job Summary:

    We are looking to hire a Receptionist to join our growing property management company. To succeed in this role, you must be professional on the phone and when greeting clients and guests, have strong organizational skills, and be able to multitask effectively. You should be comfortable with technology, able to learn quickly, and demonstrate the ability to complete tasks efficiently. The right candidate will play a key role in establishing a professional and welcoming environment for our tenants, vendors, and stakeholders.

    Job Duties and Responsibilities:

    We are seeking a reliable and self-motivated candidate who thrives in a fast-paced environment. Core responsibilities include:

    • Provide excellent service to tenants, property owners, and vendors.
    • Answer all incoming calls professionally and direct them appropriately.
    • Log tenant inquiries and maintenance requests, input them into the property management system, and follow up when needed.
    • Greet clients, vendors, and guests and direct them accordingly.
    • Monitor office supplies and place orders as needed.
    • Manage conference room calendars and schedule meetings.
    • Coordinate maintenance and vendor appointments for properties.
    • Organize and assist with staff meetings.
    • Track accounts payable submittals.
    • Send and manage property reports.
    • Assist in drafting tenant notices and communications.
    • Update and maintain property management records and tenant information.
    • Package and send out welcome packets or gifts for new tenants.

    Education/Experience:

    • Some college coursework or relevant certifications are preferred.
    • Experience in a receptionist, administrative assistant, or similar role preferred but not required.

    Physical Requirements:

    • Must be able to remain in a seated position for extended periods.
    • Must be able to lift up to 15 pounds as needed.
