    LOCATION: Midland, TX

    CONTEXT:  Our client, an oilfield equipment rental company, is seeking a highly organized and proactive Receptionist to join their team.   The ideal candidate will be responsible for a variety of administrative tasks that support their office operations, including customer communication, financial processes, and administrative assistance to the office manager.

    RESPONSIBILITIES:

    • Answer and direct incoming phone calls promptly and professionally.
    • Greet and assist visitors, ensuring they receive a positive first impression of the company.
    • Process and track incoming payments and ensure timely follow-up on any outstanding invoices.
    • Assist in the preparation and processing of invoices for outgoing rentals and services.
    • Maintain accurate records of account transactions and client interactions.
    • Input and submit invoices into OpenInvoice, ensuring compliance with company policies and procedures.
    • Verify the accuracy of invoices and resolve discrepancies in a timely manner.
    • Assist the Office Manager with various administrative tasks, including scheduling meetings and managing office supplies.
    • Maintain organized filing systems for both physical and electronic documents.
    • Prepare and distribute reports as needed to support the office’s operational functions.
    • Provide excellent customer service to clients and vendors, addressing inquiries and resolving issues swiftly.
    • Foster positive relationships with clients through effective communication and follow-up.

    QUALIFICATIONS:

    • High school diploma or equivalent; additional education or training in office administration is a plus.
    • Previous experience as a receptionist or in a similar administrative role, preferably in the oil and gas industry.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with accounting software/ERP systems.
    • Familiarity with OpenInvoice or similar invoicing systems is highly desirable.
    • Strong organizational and multitasking skills with a keen attention to detail.
    • Excellent verbal and written communication skills.
    • Ability to work independently and as part of a team in a fast-paced environment.
