We seek a highly motivated and skilled receptionist who professionally and compassionately answers incoming calls from potential and existing customers and vendors. Will be the first point of contact for reaching out to sales leads from a variety of sources.
From there you record data into the Paul Davis proprietary software, accept new assignments, create job folders, maintain job boards, monitor documents sent to customers, make customer appointments, and share in a variety of tasks to assist the daily operational needs of the mitigation and restoration departments.
Key Responsibilities: · Receive and distribute incoming calls · Receive and announce incoming visitors · Sort mail, stamp with received date · Receive phone messages for all personnel, route emergencies as needed · Data entry for all jobs · Request new assignments when necessary · Send contracts, etc. via DocuSign and monitor when complete · Monitor email alerts · Be able to learn new online computer programs · Performs other duties as assigned.
Required Skills/Abilities: · Have experience using multi-line phone systems · Have a clear, pleasant speaking voice and excellent verbal and written communication skills · Be bilingual (Spanish) preferred · Demonstrate patience and compassion with customers · Be enthusiastic and service-oriented · Be organized, efficient and detail-oriented · Be able to multi-task · Be able to work M-F from 8am-5pm · Have a good record of timeliness and attendance · Represent the Paul Davis principles of honesty and integrity · Must be able to work semi-independently and be proactive · Have computer skills in Microsoft Office, including Outlook, Word and Excel
Education and Experience: · High school diploma · Minimum of two years of experience (preferred)
Physical Requirements: · Prolonged periods of sitting at a desk and working on a computer. · Must be able to lift 15 pounds at times.
