Position: Receptionist
Reports to: Executive Director of Operations
Status: Full-Time (36 hours/week) Schedule: 7 am - 5 pm Mon - Thurs
Classification: Non-Exempt
Description Summary
The Receptionist is the caring face and voice of Pleasant Valley Baptist Church. Vibrant relationship with Christ should be evident by demonstrating exceptional service and care to callers and for those coming into the church office. The Receptionist is an extension of PV ministries related to front desk encounters. The Receptionist provides administrative support to the Executive Director of Operations.
Job Responsibilities
Front Desk:
Provide excellent customer service by making a positive first impression that reflects the nature of Christ; provides assistance to people who come into the church office; answering and screening incoming calls, and routing to the appropriate person/ministry; takes and relays messages to appropriate staff members; provides directory assistance, directions and other various types of information to staff, members, callers and guests; receives, have current and updated information of church/public events being held at PV; ensures the reception area is orderly, warm and friendly.
Recruit/invite and train front desk ministry partners.
Ensure duties are covered when absent either by other trained PV staff or ministry partners.
Demonstrate loyalty to PV’s mission, vision, and leadership.
Other Duties:
Budget Manager for Office Supplies, to include small equipment and office furnishings; general postage accounts; order supplies; postage meter uploads and updates.
Sort and deliver packages received at the front desk.
Print and stock various forms used by the staff.
Serve as a notary for staff and church members who need documents notarized.
Maintain and update a checklist for staff proof of personal auto liability insurance.
Care Ministries
Explain guidelines for assistance.
Provide applications for assistance as appropriate.
Provides a resource sheet and offer other options as applicable
Schedule Pastor Support rotation.
Prepare and email weekly prayer requests.
Update the daily Hospital report; communicate with the ministry team responsible for the Hospital Ministry.
Order flowers or request checks for memorials when church members have had a death in their immediate family; mail “Grief” books to those church members.
Assist the following departments and ministries: Accounting
Match accounts payable checks with invoices; distribute or mail checks to vendors and staff members as applicable.
Submit check requests and purchase requisitions.
Credit card reconciliation
Facilities Team
Serve as backup for building scheduling.
IT & Database
Update member profiles in PCO (current church database) and fax documents for individuals.
Human Resources (HR)
Support Staff Care Team planning
Executive Director of Operations Support
Resource and support teams overseen by Executive Director of Operations; phone calls; calendar/scheduling; reservation of rooms; knowledgeable of PV policies.
Inventory and order medical equipment and supplies needed for the Medical Response Team (MRT).
Safety Team scheduling
Electronic submission of expense reports and purchase/check requisitions; obtain signatures/approvals when the Executive Director of Operations is out of office.
Other tasks as requested to support the Executive Director of Operations and the vision of PV.

Education / Experience
High school diploma or equivalent; some college preferred
At least one year of experience working in an office environment
At least one year of front-desk experience preferred
Certified Notary Public or willing to become one is required. (PV covers the cost of fees and original certification, if not currently held.)
