About the Role:
We are seeking a friendly and organized receptionist to join our team at The Electric Company in Stockton, CA. As the first point of contact for our company, the receptionist plays a crucial role in creating a positive and welcoming experience for our clients and visitors. Receptionists provide essential administrative support to ensure the smooth and efficient operation of the office. This position involves a variety of tasks, including managing schedules, handling communications, maintaining office supplies, and assisting with projects. The ideal candidate will have strong organizational and communication skills, be detail-oriented, and able to multitask effectively.
Key Responsibilities:
Calendar & Schedule Management:
Manage and maintain the calendars of executives or team members.
Schedule and coordinate meetings, appointments, and travel arrangements.
Communication:
Answer phone calls, emails, and other forms of communication in a timely and professional manner.
Assist in drafting correspondence, reports, and other documents.
Document Management:
Organize and maintain both digital and physical files and records.
Prepare and proofread documents, presentations, and reports for internal and external use.
Office Coordination:
Order and maintain office supplies and equipment.
Ensure office space is organized and conducive to a productive environment.
Customer Service:
Greet and assist visitors, clients, and employees in a friendly and professional manner.
Provide general information and directions to internal and external parties.
Data Entry & Reporting:
Input and maintain data in various systems.
Generate reports as requested and ensure data accuracy.
Project Assistance:
Assist with project coordination and research tasks.
Support team members in completing various administrative tasks related to ongoing projects.
Office Support:
Assist with other administrative tasks as needed, such as managing office correspondence, scheduling events, and supporting team functions.
Confidentiality & Privacy:
Handle sensitive information with discretion and maintain confidentiality at all times.
Required Qualifications:
High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
Proven experience as an administrative assistant, office assistant, or similar role.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
Excellent written and verbal communication skills.
Strong organizational and time-management skills, with the ability to multitask and prioritize effectively.
Detail-oriented with a proactive attitude and ability to work independently.
