  • Responsibilities

    As a Records Clerk at the Blue Springs Police Department, you will ensure all reports are in order for easy accessibility for both Police Officers and the general public. In this role, you will assist customers and run reports to fulfill Sunshine Law requests, Liquor License, and Private Security Applications.

    DUTIES & RESPONSIBILITIES

    1. Reviews reports within Zuercher for accuracy and content.

    2. Logs and distributes Subpoenas to officers.

    3. Responsible for duplicating reports for the officers and the general public.

    4. Answers phones and provides callers with information pertaining to reports. Assist customers in the lobby with directions and contacts throughout the building. Handles individual background investigations for business and public.

    5. Helps maintain the master name file of the records management system. Responsible for verification of names, addresses, date of birth and social security updates into Zuercher.

    6. Responsible for verification of older reports and their content into Zuercher, completing the necessary input when applicable.

    7. Responsible for submission of motor vehicle crash reports from the appropriate program to the Statewide Traffic Accident Reporting System (STARS) program maintained by the Missouri State Highway Patrol.

    8. Responsible for the accurate reporting of crime data into the appropriate crime reporting system.

    9. Issues private security licenses and liquor identification cards. Provides Background checks/letters for individuals and employers.

    10. Enters A.I.R.S. into State DWITS system.

    11. Maintains our reports according to the State of Missouri Retention Schedule.

    GENERAL QUALIFICATIONS:

    • Education and Special License(s)/Certifications - High school diploma or equivalent.
    • Experience - Six months to one year of experience in basic bookkeeping, data entry, or related field preferred.
    • Skills - Skill in operating general office equipment and computers. Skill in typing, filing and data entry. Knowledge of general office procedures. Knowledge of Microsoft Office products.
    • Mental Requirements - Ability to operate standard office equipment. Ability to communicate effectively and interface with the general public. Ability to accomplish assigned tasks with minimum supervision.
    • Physical Requirements - Must be able to sit for prolonged periods; must be able to listen to normal conversation; must be able to walk occasionally, and use hands and fingers to operate, handle, or feel objects, tools, or controls; must be able to reach with hands and arms; must be able to have vision sufficient to see close up and have the ability to adjust focus; and, must be able to occasionally lift up to 25 pounds and transport it 15 feet.
    • NIMS – Must be able to pass the NIMS 100 and 700 series tests.
