Position Summary The Director of Operations & Facilities oversees all staff related to operations for W83. The Director is responsible for overseeing the day-to day operations and maintenance of W83 Ministry Center facilities, ensuring they are safe, efficient, and functional. This role involves managing a wide range of tasks related to building systems, equipment, utilities, and infrastructure to ensure the seamless functioning of the organization's physical assets. The Director will collaborate with various teams to address facility-related needs, implement preventive maintenance programs, and ensure compliance with safety and environmental regulations. This person partners with the Director of W83 Staff & Programs to ensure optimal usage of the W83 building operations.
Job Description
Operations Team: Supervise W83 Operations department including full-time staff, on-call staff, and contracted vendors. Recruit, train, and schedule Operations Team members. Coordinate on-going training for staff in safety and customer service, as needed.
Facility Maintenance: Monitor and maintain the overall condition of the facilities, including electrical, plumbing, HVAC, and structural systems. Coordinate repairs and preventive maintenance to minimize downtime and disruptions. Create, implement, and update building policies and procedures. Oversee all construction and renovation projects. Coordinate with all ministry departments to ensure housekeeping and facility operations are appropriately supporting their respective ministries.
Safety and Compliance: Ensure compliance with building codes, safety regulations, and environmental standards. Conduct regular safety inspections and implement corrective actions as needed to maintain a safe environment for our staff, congregants, and external members of our community who may periodically utilize the facility. Create, implement, and enforce operations policies and best practices that ensure safety and excellence for both internal (Redeemer) and external clients. Schedule and oversee NYC DOB and FDNY compliance and inspection activities including periodic testing of fire detection systems, sprinkler, and fire pump systems, and maintaining certificates of fitness.
Vendor Management: Liaise with external contractors, suppliers, service providers, and third-party inspectors to procure necessary materials and services for facility maintenance and repair projects. Review vendor contracts and negotiate favorable terms. Oversight of service contractors including housekeeping and security.
Budget and Expense Control: Assist in developing and managing the facilities and operations budgets. Monitor expenses, seek cost-saving opportunities, and maintain financial records for all related activities.
Emergency Response: Implement and periodically revise emergency response plans to handle critical situations such as fire, natural disasters, active shooter, or other emergencies. Conduct drills and train employees on proper safety procedures. Be available for emergency response to facilities issues.
Energy Management: Implement energy conservation programs and monitor energy usage to optimize efficiency and reduce operational costs.
Space Management: Collaborate with all departments to ensure efficient space utilization and allocation. Plan and oversee office configurations, reconfigurations, or relocations as required.
Asset Management: Maintain an inventory of all building equipment, tools, and materials. Implement tracking systems to manage the lifecycle of assets and equipment. Manage building management system for modern HVAC infrastructure.
Sustainability Initiatives: Promote environmentally friendly practices within the organization, such as waste reduction, recycling programs, and sustainable energy solutions.
Data and Reporting: Compile and analyze data related to facility operations, maintenance, and expenses. Generate regular reports for leadership team review.
Technology: Have working knowledge of physical IT infrastructure and work in partnership with in-house and remote IT departments.

Bachelor's degree in Facilities Management, Engineering, Business Administration, or a related field (or equivalent practical work experience).
Strong project management skills and experience required.
Strong people skills and organizational skills necessary to administer diverse departments and customers.
Proven experience of 5+ years in building operations, maintenance, or facilities management.
Extensive knowledge of building systems, including electrical, HVAC, carpentry, plumbing, and structural components.
Familiarity with OSHA safety regulations, NYC building codes, and environmental standards.
Strong problem-solving and decision-making abilities with a focus on efficiency and cost-effectiveness.
Excellent communication and interpersonal skills to collaborate with internal teams, vendors, and contractors.
Ability to multitask, prioritize, and manage time effectively in a dynamic work environment.
Proficiency in using computer software and tools for data analysis, reporting, and project management.
Currently certified in or willing to complete certification within 6 months of start date: ○ S-95 Supervision of Fire Alarm Systems ○ S-12 Sprinkler Systems (Citywide) ○ W-07 Fire & Emergency Drill Coordinator (Citywide) ○ F-01 Impairment Coordinator ○ F-03 Indoor Place of Assembly Safety Personnel
Spanish speaking is a plus, though not required.
Additional Information
Physical Requirements: The role involves physical activities such as walking, climbing stairs lifting objects, and performing minor repairs or maintenance tasks. The ability to move around the facilities and lift moderate loads on a regular basis (up to 50 lbs) is required.
Work Environment: The Director of Operations & Facilities typically works in an office/church setting. The role may require occasional work during weekends or evenings to handle emergencies or critical maintenance tasks.
