    SCHEDULE: Full Time, Non-Exempt, M-F. 9am-5pm, with opportunity for remote work

    COMPENSATION: $55,000 annually

    POSITION SUMMARY:

    Under the supervision of the Talent & Operations Manager, the Resource Management Coordinator will share general procurement responsibilities with a team of Resource Management professionals for supplying services and goods in support of SVA's academic and administrative departments.

    Other duties include, coordination of vendor and contractor selection, relationship management, scheduling of services, invoice review and approval, and other associated administrative tasks.

    DUTIES AND RESPONSIBILITIES

    • Assist with the scheduling of talent (actors and models) for classes based on instructor requirements, as well as student projects.
    • Collect and analyze talent reviews to facilitate booking the most appropriate person for each assignment.
    • Maintain detailed records of course, booking, instructor, and contractor information in a FileMaker Pro database.
    • Assist with procuring goods and services, including but not limited to office and art supplies, travel, transportation, and professional services.
    • Generate and maintain Purchase Orders in the Colleague system.
    • Monitor orders placed to ensure the timely receipt of goods and services.
    • Coordinate delivery arrangements with Office Services and end users.
    • Scan and index documents, including purchase orders, contracts, and insurance certificates, into a document management system.
    • Assist with invoice processing and payment of contractors and vendors. Responsible for a variety of usage/procurement reports and metrics.
    • Perform other job-related duties as assigned.

    MINIMUM QUALIFICATIONS

    • Bachelor's degree required
    • Two (2) years of related experience

    PREFERRED QUALIFICATIONS

    • Experience in an artistic or academic environment is a plus.
    • College administrative/advisement background.
    • Experience with Internet/social media platforms.
    • Experience with FileMaker Pro (database software) preferred

    KNOWLEDGE, SKILLS AND ABILITIES

    • Knowledge of the protocols and objectives of higher education.

    • Knowledge and skills in MS Suite (Word, Excel, PowerPoint) and Google Suite

    • Skill in effective verbal and written communication.

    • Skill in data analysis, problem-solving; and detail oriented.

    • Skill in handling multiple tasks and prioritizing to meet deadlines.

    • Skill in planning and organizing.

    • Skill in operating a personal computer, databases or scheduling software; and related equipment.

    • Ability to provide customer service.

    • Ability to work independently.

    • Ability to develop and maintain knowledge in assigned specialized areas.

    • Ability to work with frequent interruptions and changes in priorities.

    • Ability to resolve problems or situations requiring the exercise of good judgment.

    • Ability to establish and maintain good working relationships with other employees and the public of diverse backgrounds.

    PHYSICAL REQUIREMENTS OR WORKING CONDITIONS

    • Full-time position schedule - 9am-5pm
    • Ability to occasionally work outside of normal office hours, work evenings and/or weekends as needed.
    • While working remotely, will be required to maintain the same hours of work as would be performed in the office; follow the department's procedures in completing assigned job tasks; and be available during the employee's working hours via the departments established communication methods (i.e. Google chat, Slack, phone, etc.)
    • Primarily an office setting and sitting for prolonged periods
    • Dexterity in hands and fingers is crucial for typing, using a mouse, and handling small items.
    • Occasional standing and walking: Moving around the office to retrieve items and reaching and bending
    • Occasionally carrying or lifting light items/objects (i.e. laptops, documents, office supplies, or small packages), typically under 20 lbs.
