POSITION SUMMARY:

We have an exciting opportunity to join our team as a Grants Manager. Reporting to the Director of Finance & Administration and Administrator, the Grants Manager will lead all pre-award processes for the department of Pathology. S/he will be responsible for training, supervision, and development of two full time exempt staff. In this role, s/he will be responsible for all aspects of the departmental pre-award process. The incumbent will work with the faculty and administration to process and review grant applications, maintaining database of applications, managing information systems and ensuring compliance with sponsor terms/regulations and institutional policies. The incumbent will also work with departmental finance staff and other administrative staff. The Grants Manager and staff are responsible for performing complex grant administration and certain post-award fiscal management tasks relating to externally sponsored research awards. The Grants Manager leads the grant preparation and submission process, oversees and supports all aspects of the grants program, as well as conducts ongoing monitoring and evaluations. S/he coordinates activities related to the application, reviews the set-up of grant accounts, and manages new awards and continuing grants and/or contracts from a variety of federal, state, and private sources.

JOB RESPONSIBILITIES:

Interface with senior management, Program Directors, faculty and other members of the research team to expedite and facilitate the internal processing of proposals.
Faculty assistance - consists of grant application planning to ensure applications are submitted on time; development of draft proposal budgets; maintains current on institution and external policies and procedures change, creates and environment of compliance and responds in a timely manner to faculty requests for info.
Maintains and enhances the process to track existing grant deadlines, status of progress reports and continuations records for existing grants and contracts. Helps ensure continuity of funding. (Renewals, RFA, etc.)
Proposal Review - Reviews applications and supporting documentation to ensure compliance with regulatory, sponsor and funding requirements, which can include the collection of Financial Disclosures, documentation of IRB, IACUC, IBC, and other certifications as needed.
Reviews NIH continuation applications, and assists in review of all other applications; For progress reports, notify investigators of upcoming deadlines; Tracks continuation proposals; Supervises the entry data for all proposals reviewed and maintains electronic database pertaining to applications; Ensures budgets are in accord with sponsor policies; Notifies supervisor of changes, and recommends action when necessary; and prepares monthly report of continuations activity.
Maintains a current awareness of changes or new Federal regulations; maintains familiarity with trends, issues, and advances in grants administration through periodic review of relevant journals or other literature; consults websites of professional organizations (e.g. NCURA, SRA); readily accepts new responsibilities and assignments; and recognizes when help is needed by others and offers guidance and assistance.
Post Award Management - Reviews and processes sponsor awards for financial and research compliance. Reviews requested actions for compliance with NYU, sponsor and governmental policies and assists the Principal Investigator, research team, and administrative department in attaining appropriate sponsor administrative approvals.
Works closely with Pathology business office to ensure appropriate account set-up, executes necessary changes during the period of performance, and coordinates project closeouts. Engages with departments as needed to insure Human Subjects (IRB), Animal Subjects (IACUC), and rDNA (IBC) compliance.
Supervise and manage the professional development of two direct reports.
Responsible for communicating changes in policies, procedures, and strategies to the department of pathology research community.
Liaise with intramural and extramural sponsors on grant and contract administration matters.
Handles all confidential matters with appropriate discretion and maintains a standard of professionalism at all times.
Ensures that relevant information is easily accessible to colleagues and the Department administrator.
Discuss complex or sensitive issues with Administrator and Business Manager.
Submits applications to SPA on behalf of the department using appropriate software programs.
Maintains schedule to track all active and pending grant submissions.
Adheres to sponsors, deadlines, guidelines, instructions, and policy updates, confirming investigators eligibility for each submission.

MINIMUM QUALIFICATIONS:

To qualify you must have a Bachelor degree or equivalent in business administration, health care administration or related field. Minimum of two years of progressively responsible project coordination experience, preferably in a research setting. Proficiency in using various Microsoft Office applications such as Word, Excel, Access, Power Point and Outlook. Familiar with Internet applications. Effective oral, written, communication, interpersonal skills. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently. Commitment to continuous learning as required by department administration. Ability to operate research related equipment. Ability to work and make decisions independently. Time management skills and ability to multitask. Ability to identify, analyze and solve problems: Ability to work well under pressure.

PREFERRED QUALIFICATIONS:

Bachelors degree and 3 years experience. Previous experience administering office operations in a healthcare setting preferred.
