Position Overview: The Sales Administrator plays a pivotal role in supporting the sales team within the logistics industry. They are responsible for managing the administrative tasks associated with the sales process, ensuring that all client-related activities are carried out efficiently and effectively.
Key Duties and Responsibilities
Assist the sales team with the preparation of quotations, proposals, and tenders.
Coordinate with internal departments to ensure timely delivery of services.
Update and maintain the customer relationship management (CRM) system with client details, interactions, and sales records.
Oversee the order-to-delivery process, ensuring accuracy and efficiency.
Communicate with clients to confirm orders, delivery dates, and any special requirements.
Prepare, verify, and maintain sales-related documentation, such as contracts, purchase orders, and shipping instructions.
Ensure compliance with industry regulations and company policies.
Serve as a liaison between the sales team, operations, and the client.
Address and resolve client inquiries and concerns promptly and professionally.
Generate regular sales reports for management, highlighting key metrics and trends.
Analyze sales data to assist in target setting and forecasting.
Schedule and coordinate meetings, sales presentations, and training sessions for the sales team.
Assist with the organization and execution of trade shows, seminars, and client events.
Collaborate with the operations team to check the availability of services or products.
Notify sales team of inventory levels and potential backorders.
Stay informed about industry best practices, trends, and technologies.Recommend process improvements to streamline sales administration functions.
Preferred Qualifications
Bachelor’s degree in Business, Logistics, or related field (preferred but not mandatory).
Previous experience in a sales administration or support role, preferably within the logistics industry.
Strong proficiency with office software, including Microsoft Office Suite and CRM platforms.
Excellent communication skills, both written and verbal.
Detail-oriented with the ability to manage multiple tasks and deadlines.
Strong organizational and time management skills.
Familiarity with logistics terminology and practices is a plus.

Working Conditions: May require occasional travel for industry events or client meetings. Office-based with standard office hours; however, flexibility may be required to accommodate different time zones and client needs.
Work Schedule: Monday to Friday, 9AM - 6PM (1 hour lunch break)
