    Job Responsibilities:

    This job includes but is not limited to:

    • Sales Support & Contract Management:
    * Prepares and manages all sales-related contracts and documentation.
    * Ensures all necessary signatures are collected and contracts are filed properly in both digital and hard copy formats.
    * Coordinates contract execution and ensures compliance with company standards.
    * Works with third parties for select contracts and renderings when needed.
    * Responsible for managing and organizing all sales administrative tasks and documentation.
    
    • Sales Calendars, Scheduling, & Coordination:
    * Schedules site surveys, discovery calls, presentations, and Zoom meetings for Sales Associates.
    * Ensures all scheduling follows the company’s scheduling block system for consistency and efficiency.
    * Manages the sales calendar, coordinates sales-related meetings, pass-offs, and deadlines.
    * Coordinates sales-related events and ensures all deadlines are met in support of the Sales Manager and Sales Associates.
    
    • Lead Distribution & Project Pass-Off:
    * Tracks and distributes leads as directed by the Sales Manager.
    * Ensures Sales Associates submit all required documents and photos before project pass-off to the Project Team.
    * Works cross-departmentally with the Design & Engineering Team to obtain necessary drawings and pricing.
    * Collects setback information from clients to ensure project feasibility.
    * Tracks and updates all projects across internal systems to ensure seamless communication and handoff from sales to project management.
    
    • Administrative & General Coordination:
    * Maintains and organizes both digital and hard copies of sales folders, ensuring all project documentation is up to date and properly filed.
    * Updates and maintains accurate project statuses across all platforms to ensure timely communication and handoff between departments.
    * Multitasks across various sales-related administrative duties and ensures all checklists are followed thoroughly.
    * Supports the sales team by handling all administrative work efficiently and ensuring compliance with internal processes.
    
    • General Responsibilities:
    * Tracks and organizes all sales processes to ensure the smooth transition of projects from sales to the project management team.
    * Performs other departmental tasks as assigned to improve process efficiency and support the sales team in their goals.
    * Provides regular status updates to ensure that the Sales Manager and Sales Associates are supported effectively.
    

    Skills and Qualifications:

    • 2-3 years of administrative experience in real estate or construction, with a focus on preparing and coordinating contracts.
    • Strong organizational skills and ability to multitask effectively.
    • Exceptional attention to detail and accuracy—detail orientation is essential.
    • Excellent communication skills for cross-departmental coordination, comfortable holding others accountable to deadlines and deliverables.
    • Proficiency with CRM systems, internal communication tools, and Apple products.
    • Ability to work effectively in a dynamic, growing environment, balancing multiple projects simultaneously.
    • Experience in the construction or luxury goods industry is a plus.

    Work Hours:

    • Full-time: Monday - Friday, 8 AM - 5 PM, with occasional nights and weekends as needed.

    Salary:

    • $50k-$60k annually, based on experience.
