Job Description:
We are seeking a motivated and detail-oriented Sales and Catering Coordinator to join our dynamic team at Courtyard Coconut Grove hotel. The ideal candidate will be responsible for supporting the sales and catering department, ensuring exceptional service and seamless coordination of events and catering services. This role requires strong organizational skills, excellent communication abilities, and a passion for customer service.
Key Responsibilities:
- Client Interaction: Serve as the primary point of contact for clients during the planning and execution of events. Respond to inquiries via phone, email, and in-person meetings, providing detailed information about catering services and event logistics.
- Proposal Development: Assist in creating and sending proposals, contracts, and pricing options to prospective clients. Tailor offerings based on client needs and preferences.
- Event Coordination: Collaborate with clients to coordinate all aspects of events, including menu selection, decor, audiovisual needs, and setup requirements. Ensure all details are documented accurately.
- Sales Support: Assist the Sales Manager with lead generation, outreach efforts, and follow-up communications to potential clients. Help track sales performance and maintain an organized sales database.
- Budget Management: Work with clients to develop and manage event budgets. Ensure that all services are delivered within the agreed-upon pricing.
- Vendor Liaison: Coordinate with various vendors, including catering staff, decorators, and audiovisual companies, to ensure all event components are executed to the highest standards.
- On-Site Supervision: Act as the main point of contact during events to ensure everything runs smoothly. Address any client needs or issues that may arise during the event.
- Documentation and Reporting: Maintain accurate records of client interactions, event details, and post-event surveys. Prepare reports to analyze sales trends and customer feedback.
- Customer Service Excellence: Uphold a high standard of customer service, ensuring that all clients have a positive experience from their first inquiry to the completion of their event.
Qualifications:
- Bachelor’s degree in Hospitality Management, Business Administration, or a related field preferred.
- Proven experience in sales, event planning, or catering coordination.
- Excellent organizational and multitasking skills, with strong attention to detail.
- Exceptional verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with catering software or event management systems.
- Ability to work flexible hours, including evenings, weekends, and holidays as needed.
- Strong problem-solving abilities and a customer-focused mindset.
